JOB DESCRIPTION
POSITION TITLE: Lead Receptionist
POSITION SUMMARY: The Lead Receptionist is responsible for overseeing all front office medical receptionists, ensuring efficient front office operations and consistent patient flow. To be successful, this role requires the ideal candidate to possess strong and effective written and verbal communication skills, extraordinary patient service, commitment to patient satisfaction, and ability to thrive in and adapt to fast-paced environments. The Lead Receptionist reports to and works closely with the Quality Control and Compliance Manager to optimize front office operations and efficiency.
JOB DUTIES:
This position is responsible for the following:
- Train, mentor, and oversee medical receptionists to ensure excellent quality patient care and satisfaction.
- Oversee front desk flow and daily administrative tasks.
- Ensure compliance with established company and front office policies and procedures.
- Ensures front office maintains HIPAA compliance and confidentiality in all front office functions.
- Maintain a well-organized and efficient front office environment.
- Implement and maintain a welcoming and efficient front office experience.
- Monitor daily performance of medical receptionists to ensure duties are completed accurately, efficiently and timely.
- Provide leadership, mentorship, and guidance to medical receptionists as needed.
- Coach and re-train medical receptionists on proper execution of front office tasks when errors are observed. Report observations and repeated violations to the appropriate members of management.
- Assist Medical Assistants and Medical Receptionists with patient flow to ensure patients are seen timely and efficiently.
- Assist management with evaluating each medical receptionist’s overall performance and adherence to policy for purposes of 30, 60, 90 day and annual performance evaluations in accordance to established practices and procedures.
- Identify areas of improvement and share solutions with management to optimize operations.
- Ensure high quality of care for patients by documenting, reviewing, investigating, and addressing patient concerns and/or complaints in accordance to established policy and procedure. Submit all patient concerns/complaints timely to management for proper retention and follow up when necessary.
- Develop and maintain a positive department work environment with trust, support, and empathy to maintain positive morale and employee retention.
- Maintain adequate clinical supplies. Ensure supply purchases are cost efficient and within the budget. Review and approve supply receipts in conjunction with Accounting Department.
- Ensure clinical equipment remains in operating condition.
- Assist with or conduct periodic staff meetings with clinical team members.
- Attend periodic training sessions and meetings pertinent to position.
- All other duties and responsibilities as assigned.
JOB REQUIREMENTS:
- Must be able to stand, walk, and sit for extended periods of time.
- Must have strong leadership skills and ability to motivate and guide team members.
- Must be fluently bilingual in English and Spanish.
- Must possess and maintain a valid CPR Certification.
- Must have strong organizational skills.
- Must demonstrate strong, effective, and detailed written and verbal communication skills.
- Ability to work under pressure.
- Ability and willingness to treat all patients and co-workers with the utmost kindness and consideration in the most trying situations.

QUALIFICATIONS, EDUCATION, AND EXPERIENCE:
- High School Diploma or equivalent is strongly preferred.
- At least 3 years as a medical receptionist or a similar role in healthcare is required.
- Thorough knowledge of medical terminology.
- Knowledge of medical office safety, cleanliness and infection control policies and procedures.
- Demonstrate strong computer skills in Microsoft Office software and HRIS Systems.
- Experience with Electronic Medical Record systems (EMRs) a plus. Experience with e-Clinical Works desired.
- Ability to demonstrate excellent problem-solving, analytical and collaborative skills in order to organize and prioritize multiple tasks, providing patient centered leadership and direction.
- Must have the emotional intelligence that may include, but not limited to, patience, sensitivity and the compassion to work with patients that may be stressed, anxious, and difficult.
- Ability to work as a team.
- Ability to demonstrate knowledge and willingness to engage in learning about various spiritual, ethnic, and culturally diverse backgrounds.

SALARY: $20.00 - $24.00 per hour, DOE
