Summary:
The Support Services Specialist, with a focus on space identification and management, plays a pivotal role in maintaining precise and up-to-date information regarding the organization's physical space. This position involves collecting, analyzing, and reporting data to support informed decisions on efficient space planning and allocation.
Essential Duties and Responsibilities:
Space Data Collection and Inventory:
- Conducts regular on-site surveys of facilities to verify and update space information.
- Measures and records of space dimensions, configurations, and occupancy details.
- Updates space management databases and drawings with accurate and current information.
Space Utilization Analysis:
- Analyzes space utilization data to identify trends, patterns, and potential inefficiencies.
- Generates reports and visualizations to communicate space usage metrics and occupancy trends.
- Assists in identifying opportunities for space optimization, consolidation, or reconfiguration.
Move Support:
- Updates space management systems to reflect changes resulting from moves.
Data Integrity and Accuracy:
- Develops and maintains procedures for ensuring the accuracy and integrity of space data.
- Conducts regular audits of space information to identify and resolve discrepancies.
Support for Space Planning Initiatives:
- Engages in collection, analysis, and reporting for space planning projects.
- Provides technical support in the development and implementation of space allocation policies.
Work Schedule:
- In Office: Monday to Friday
- Hours: 8-hour days
Minimum Qualifications:
Experience: Two years in facilities management, space planning, or a related field, with a proven ability to collect and analyze space data.
Education: A minimum of an associate’s degree or equivalent coursework in a related field is preferred. Relevant experience may be substituted for education.
Knowledge: Proficient working knowledge of space planning principles, building codes, and accessibility standards. Familiarity with space management software and tools is advantageous.
Skills: Strong attention to detail, excellent organizational skills, and proficiency in data analysis and reporting. Ability to communicate effectively and collaborate with team members.
