Position Overview:
In this role, you will play a crucial role in ensuring the smooth and efficient operation of the administrative functions of the Serpentine Jewels organization. This position requires a detail-oriented individual with strong organizational and interpersonal skills, as well as a deep understanding of luxury retail standards.
Responsibilities:
Oversee day-to-day administrative tasks, including data entry and record-keeping, and correspondence. These responsibilities include:
- Efficient Calendar Management: Take ownership of the CEO's complex calendar, scheduling appointments, meetings, and travel arrangements while accommodating last-minute changes and prioritizing critical engagements.
- Precise Communication and Inbox Management: Craft polished and insightful communications on behalf of the CEO, demonstrating a keen understanding of her tone and preferences. Keep the CEO’s inbox organized, ensuring all emails are addressed within 24 hours, and escalating urgent emails and inquiries as appropriate.
- Impeccable Organization: Maintain meticulous records, files, and documents, ensuring that the CEO's office operates in a well-organized and systematic manner. Must be OBSESSED with details.
- Data Entry: Responsible for keeping our data management system up-to-date with all relevant information and meeting notes
- Travel Arrangements: Coordinate travel arrangements, including flights, accommodations, and itineraries, considering the CEO's preferences and maximizing productivity during travel.
- Personal Support: Provide personal assistance to the CEO as required, ensuring a seamless work-life balance. Some weekend work may be requested from time to time for personal matters.
- Sales Support: Assist in the planning and execution of store events and promotions, including in-person client appointment support and on-going sales support, including entering details from client interactions in our CRM.
- Manage office supplies, office space, and inventory to ensure seamless operations.
- Ad hoc projects as asked by management, including potential social media projects, website projects, and marketing projects.
Qualifications:
- Proven experience in office management, preferably in the luxury retail sector.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficient in technology, including Slack and Google Suite
- Understanding of luxury retail standards and commitment to exceptional customer service.
