PURPOSE: Reporting to the Organizing Operations Deputy Director, the Organizing Operations/Logistics Assistant will assist with all aspects of the day-to-day organizing logistics and operations of the National Organizing Department which include budget monitoring, and coordinating logistical needs for the Capacity Center meetings and trainings and other duties as assigned. They will also support department-wide initiatives and events.
PRIMARY RESPONSIBILITIES: (Any one position may not include all of the specific duties and responsibilities listed. Examples provide a general summary of the work required and should not be treated as a total and complete list of expected duties to be performed by employees in the classification.)
- Provides logistics for in-person and virtual trainings/meetings, and provides onsite logistical support for in-person meetings as needed.
- Works collaboratively with the training coordinators to plan and execute Organizing trainings to assist with the development of training agendas, printing curriculum, handouts and arranging all aspects of lodging, catering and room set up.
- Arranges travel logistics including, but not limited to flights, car rentals, hotel accommodations and housing, makes any changes necessary, confirms that individuals or groups have completed travel or arrived at destinations, and alerts manager or his or her designee of any potential or realized problems.
- Provides logistical assistance associated with production of materials for conferences, trainings and other meetings.
- Assists with the identification and adoption of best practices to increase effectiveness and efficiency of Organizing Operations.
- Responsible for budget management, including tracking budget to actual spending and provides reporting on a monthly basis as well as on an ad hoc basis, related to Organizing expenditures.
- Develops and maintains systems to track and store critical information related to the department.
- Assists with the processing of contracts, payment and financial transactions with locals, vendors and partner organizations.
- Serves as a liaison to Finance, Meetings and Travel and other SEIU departments to assist department staff with resolving problems.
- Assist with booking guest travel for events and campaigns.
- Adhere to strict deadlines for completion of all assigned work.
- Perform other duties and special projects as assigned in support of the goals and objectives of the National Organizing department.

DIRECTION & DECISION MAKING:
This position reports to the Organizing Operations Deputy Director and the incumbent works under general supervision.
EDUCATION & EXPERIENCE
Bachelor’s degree from an accredited college or university preferred; and at least three (3) years of related work experience with a minimum of one (1) year of experience with campaign and field logistics, budgets, operations, meeting planning, database development; and familiarity specifically with field-based operations and campaigns. Or
High School diploma or GED; and five (5) years of experience in campaign and field logistics operations, budgets, meeting planning, database development; and familiarity specifically with field-based operations and campaigns. Or, a combination of education and experience that would provide for the following knowledge, skills and abilities:
- A high level of curiosity about SEIU and social/economic justice movements.
- Passion for improving the lives of SEIU members and working people everywhere.
- Outstanding writing, verbal, and analytical communication skills.
- Skill in the use of Microsoft Office and Google Suite programs.
- Skilled in planning, organizing and executing small- and large-scale meetings, trainings and other events on short notice, including agendas and workshops within an established budget.
- Proven ability to exercise sound judgment and discretion.
- Ability to handle multiple “priority” projects simultaneously and meet established deadlines.
- Ability to pay attention to the minute details of a project or task; above average organizational skills.
- Ability to adapt to changing situations on a daily basis.
- Demonstrated ability to be diplomatic, taking a professional approach to problem solving while thinking independently and creatively.
- Ability to travel.
- Skilled in developing and maintaining effective relationships with consultants, vendors and all levels of staff at headquarters, in the field and in local unions

- Commitment to promoting SEIU’s goals
- Previous campaign coordination experience preferred; and skilled in the use of accounting software is recommended.
PHYSICAL REQUIREMENTS: Work in this position will generally be performed in an office setting. However, the job may require work in other settings conducive to performing the tasks required to complete assignments. Must be available for some travel, including overnight stays. Travel and work beyond traditional business hours is required.
Probationary Period: 36 Weeks
