What are the responsibilities and job description for the Billing Specialist position at Service Experts Heating & Air Conditioning?
Position Summary: Work Directly with Service Managers and Technicians to process all service billing quickly and efficiently. Weekly/monthly review of open work orders. Ensure all material and labor has been captured on the Customer Invoice. Capture additional Revenue items (equipment used to perform service).
Basic Requirements:

- Proficient in spelling, punctuation, and grammar
- Computer Skills – must be proficient in Word, Excel, Outlook
- Ability to Multi-Task
- Organizational Skills in managing workload and follow up
- Strong communication skills
- Key Responsibilities:
- Work closely with each Service Manager, Technician and/or Dispatcher to ensure work orders are being closed for billing on a timely basis
- Verify labor and material are billed accurately. This includes adding any truck stock parts used.
- Check status for open PO’s on Completed Work Orders – call technician or vendor to obtain invoice
- Verify Subcontractor work and billing rate
- Add Billing Comments to the invoice by reading the Technician’s Work Order Notes
- Add Miscellaneous Revenue items to each invoice (sewer machine, camera, etc.)
- Question any work order discrepancies with the technician and/or Service Manager
- Review Ticket Profitability with the Service Managers
- Print & Post Invoices and mail, email or upload to Portal for submission
- Process billing daily
- Ensure that all billing has been processed by the End of the Month
- Assist Customers with questions or discrepancies on invoices
- Issue Purchase Orders as needed
- Answer Phones as needed
- Additional duties as needed
