Purchasing Agent / Administrative Sales Assistant
We are a medium size commercial window cleaning and specialty access equipment rental/sales company. For over 33 years, we have been an industry leader and innovator throughout the Midwest, serving the Commercial Real Estate and Construction markets.
Job Responsibilities:
The primary role of the Purchasing Agent / Administrative Assistant is to provide purchasing and inside sales support for the equipment rental division and sales managers. As well as to assist in the daily functions of the business, with a strong emphasis on purchasing.
- Purchases goods and services according to the company’s policies and procedures.
- Coordinates with managers to maintain inventory levels.
- Evaluates vendors based on price, reliability, capability, and previous transaction history.
- Works with vendors to negotiate volume and cash transaction discounts, and other available discounts.
- Ensures that purchasing documents are complete and accurate and include appropriate and reasonable terms and conditions.
- Maintains pricing histories and other vendor records.
- Interact with clients, managers, drivers, mechanics, suppliers and subcontractors to determine their needs for the service or sales related inquiry.
- Process customer requests for pricing, product information, and availability. Develop and strengthen relationships with new and existing accounts.
- Explain product features and functions to customers.
- Coordinate equipment logistics, parts, and materials with vendors and receiving department
- Prepare equipment proposals, review drawings and specifications, certificates of insurance, etc.
- Deliver timely and accurate updates to account executives regarding estimating and production scheduling changes to meet their deadlines.
- Performs other related duties as assigned.
Knowledge/Skills/Abilities:
Requires knowledge and understanding of general management, purchasing and supply chain, and partnering with vendors and manufacturers that we represent. Must be able to communicate through all levels of management to insure timely follow up to all customer issues. Individual will have a general understanding of team concepts, and cross functional activities; knowledge of the access equipment industry and ability to assimilate data to present sales analysis, and equipment utilization trends as they occur.
- Able to perform business mathematics.
- Fluent communication in Spanish, as a second language, a plus.
- Requires ability to maintain confidentiality of company data; collect data, establish facts, draw valid conclusions, and use judgement for effective decision making.
- Ability to prioritize in a fast paced team environment; organized and a team player but can excel independently.

Requirements:
- Minimum of 2 years of corporate administrative experience, warehouse shipping & receiving, marketing, logistics, inventory control and / or purchasing.
- Associates degree required, Bachelor’s degree preferred.
- Experience in QuickBooks is required.
- Proficient in Microsoft Office Suite, primarily with Excel, building detailed reports and spreadsheets to help make efficient use of reporting to executive management.
- Excellent organizational and communication skills and attention to detail
- Ability to lift up to 20 pounds to assist with unloading of equipment packages as needed.
