Job purpose
The purpose of this position is to assist the Project Accountant in tracking all billing and costs for commercial restoration and construction projects for the Large Loss Division. Job assignments include data entry of all daily paperwork, receipts and invoices as well as maintaining all spreadsheets related to each project. Other responsibilities include organizing all back up documentation and approving payroll.
Reporting Relationships
● Field Clerks will report to the Project Accountant
● Field Clerks will report to the Project Manager
● Field Clerks will report to the Operations Coordinator
● Field Clerks will report to the Senior Project Auditor
● Field Clerks will report to the SRM Controller
Duties and responsibilities
● Data Entry
● Create invoicing file with the correct Price List and Master job file.
● Create, edit and maintain vehicle list and hotel assignments.
● Create and maintain a contact list for each project.
● Assist with mobilization/demobilization efforts including booking flights, hotels, rental cars – when needed.
● Create and manage the electronic job folder for the Project.
● Keep track of and organize all paperwork related to the job (both hard copies and digital back up documentation)
● Ensure everyone on a project is signed in to the project daily, including all SRM personnel, general labor, and subcontractors, if applicable.
● Assist the PM/APM with line ups and ensure that there is an accurate headcount of both SRM personnel and General Laborers, that match the Master Sign In sheets and Dailys’ each day.
● Assist PM to ensure the job file is set up correctly as per the signed contract for the project.
● Audit all data entry and electronic job file daily and when preparing file for billing.
● Ensure all spreadsheets and schedules are accurate and up to date daily.
● Manage petty cash, disperse per diem as needed
● Follow 3rd break procedures on each project and make sure all paperwork is filled out correctly and accurately.
● Work with the Project Manager to ensure all job costs are tracked properly and input into specific software along with ensuring costs are tracked and up to date.
● Work with Resource Coordinator to ensure all equipment and materials are being tracked properly and accounted for in the job file.
Qualifications
Technical Skills:
● Proficiency in Microsoft Excel, Microsoft Word, and overall good computer skills
● Ability to learn new software and programs both on a computer or other technology such as a smartphone

Measurement of Performance
The measure of the performance of the Field Clerk is, but not limited to, as follows:
● All payroll approvals are completed on time and accurately each week
● Job files are found to have minimal mistakes when audited
● All spreadsheets including Project Analysis Workbook are updated daily and accurately
● The Project Analysis Workbook is updated daily and fully filled out accurately by the end of the job
● Completed all tasks assigned in a timely manner
● Show up to work every day on time, in proper uniform
● Adhere to all company policies and procedures
● Maintained a safe work environment
● Maintained vehicle, whether it is company owned or rented
● Complete all timecard entries and/or DOT logs
Working conditions
