Job Summary

The Executive Assistant (EA) to the Chief Technology Officer (CTO) plays a vital role in delivering comprehensive administrative support to the CTO, senior leaders within the CTO's divisions, and other executive staff as needed. This role requires independent decision-making, proactive initiative, and exceptional intuition to effectively support the CTO and SERVPRO Headquarters.

Major Duties and Responsibilities

  • Manage complex calendars, ensuring the CTO is punctual for meetings with all necessary materials.
  • Assist in preparing and revising presentations, meeting agendas, and other relevant documents.
  • Set up meeting rooms and ensure all equipment is ready for use.
  • Organize catering for in-office meetings, overseeing set-up and clean-up.
  • Welcome and greet vendors, clients, and other visitors to scheduled meetings.
  • Perform on and off-site errands for the CTO and other executives as required.
  • Take notes during meetings, prepare agendas, and follow up on action items.
  • Coordinate team-building activities and assist the CTO in creating employee communications.
  • Schedule interviews and manage travel itineraries for candidates in collaboration with recruiting.
  • Oversee the divisional supply budget and assist with expense reporting.
  • Maintain workgroup organization charts, updating records for new hires and promotions.
  • Collaborate with hiring managers and HR to onboard new IT employees.
  • Order office supplies for the department.
  • Assist in coordinating travel for IT staff members.
  • Support the annual IT budget preparation as needed.
  • Prepare necessary reports and documentation for the CTO and Vice Presidents.
  • Create and maintain records for the division's temporary and contract employees.
  • Assist in project coordination, tracking progress and maintaining related documentation.
  • Organize and manage electronic and hard copy files for IT operations.
  • Provide EA support to other members of the Senior Leadership Team as necessary.
  • Ensure confidentiality of sensitive information at all times.
  • Required Qualifications (Knowledge, Skills, and Abilities)

  • 3-5 years of experience as an Administrative Assistant or in a similar role.
  • Ability to communicate clearly and professionally with a variety of audiences.
  • Proficiency in Excel, dual calendar management, MS Word, MS PowerPoint, and MS Project (preferred), MS Visio, report preparation, and vendor invoice processing.
  • Outstanding oral and written communication skills alongside familiarity with standard office practices.
  • Education

  • Associate's or Bachelor’s degree preferred, or equivalent relevant experience.
  • Working Conditions

  • Fast-paced and high-pressure office environment.
  • Standard 40-hour workweek, with potential additional hours required to meet deadlines.
  • Minimal travel may be needed for business purposes.
