The Receptionist/Office Admin plays a crucial role in our franchise, ensuring seamless communication between our customers and our operational teams. This position involves performing various administrative tasks related to customer calls, job file management, scheduling, and customer satisfaction. Primary Responsibilities
· Promptly answer phones- receive and enter lead calls and job referrals (First Notice of Loss - FNOL) into the system, ensuring accuracy and completeness.
· Provide exceptional customer service by addressing inquiries, resolving issues, and maintaining a friendly and professional demeanor when interacting with customers.
· Handle general phone calls and greet visitors to the office, ensuring a positive and welcoming experience.
· Efficiently dispatch and track lead calls and job referrals to appropriate operational teams, ensuring timely response and resolution.
· Make outbound calls to customers and insurance professionals to provide information, follow up on inquiries, and address any concerns or needs.
· Assist in accounts receivable- communicating with insurance companies and customers
· Maintain an organized file system and company calendar/schedule
· Manage outgoing/incoming mail, email, and faxes,
· Perform other job-related duties as assigned.
Education and Experience Requirements
· Entry Level Position
· High school diploma/GED is required.
· Previous receptionist/office experience preferred.
· Exceptional customer service skills, strong administrative abilities, and excellent verbal and written communication skills required.
· Proficiency in using various digital tools and technologies to complete job tasks efficiently.
· Experience in the restoration, construction, or insurance industry is a plus.
Skills/Physical Demands/Competencies
This is a sedentary role in a fast-paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, and bending or standing as necessary.
Pay starts at $15.00 an hour based on experience.
