About The Role

Responsibilities
- Office Operations & Facilities Management: Oversee day-to-day office operations, ensuring a productive and well-organized office environment. Manage office supplies, vendor relationships, and facility needs, proactively resolving any issues.
- Workplace Experience & Culture: Foster a positive and engaging office culture by coordinating team events, celebrations, and employee experience initiatives.
- Calendar & Scheduling: Manage the Head of Engineering’s complex calendar, coordinate meetings, prioritize appointments, and optimize time efficiency.
- Meeting Preparation: Organize materials, draft agendas, and prepare presentations to ensure executives are well-equipped.
- Travel Coordination: Plan and manage detailed travel itineraries, including flights, accommodations, and logistics, proactively addressing any issues.
- Administrative Efficiency: Implement processes to streamline workflows, enhance productivity, and support overall business operations.
- Project Assistance: Support key initiatives to deliver high-quality projects.
- 4 years of experience as an Executive Assistant to C-suite executives.
- Handle sensitive information with the utmost discretion and professionalism.
- Proven ability to manage complex calendars, travel logistics, and high-level communications.
- Exceptional organization, time management, and attention to detail.
- Strong interpersonal and communication skills to build rapport across teams and external partners.
- Ability to multitask in a fast-paced environment with shifting priorities with a high sense of urgency.
- Proficiency in Google Workspace, Slack, and expense reporting tools.
- Discreet, proactive, and adaptable with a problem-solving mindset.
- Experience in project management and event coordination is a plus.
