Summary: The Receptionist welcomes new and returning guests into Sevan’s office and assists with data entry and event planning. This position plays an important role in supporting the day-to-day administrative operations of the office, working on the front line to make sure questions and issues are resolved correctly and in a timely manner. This is a part-time position, with expected 20 hours per week, Monday - Thursday, 9am - 2pm.

Essential Duties And Responsibilities

  • Acts as the first line of contact in the office for employees, guests, and clients.
  • Assists with event planning for New Hire Orientations, Sevan Events, Town Halls, etc.
  • Monitors front desk and ensures all phone calls, people, and requests are routed appropriately.
  • Monitors and orders snacks and office supplies.
  • Orders new badges and activates badges for guests and employees through the building’s maintenance system.
  • Schedules meetings and appointments within the office and greets all visitors upon arrival.
  • Manages conference room scheduling.
  • Maintains the office condition, submitting repair/cleaning work orders when necessary.
  • Enters all visitors into the internal building visitor system.
  • Screening and forwarding incoming phone calls and emails to internal contacts.
  • Responds to inbound chats, emails, and SMS communication.
  • Handles sensitive documents with a high level of confidentiality.
  • Provides support with special projects, using internet-based research when necessary.
  • Monitors postal mail and route appropriately.
  • Monitors shipping and packages (inbound and outbound).
  • Other duties as assigned

Qualifications

  • College degree preferred; 0-2 years of experience in a customer-contact capacity or customer-service role is preferred.
  • Excellent phone etiquette.
  • Ability to communicate clearly and professionally, both verbally and in writing.
  • Excellent problem-solving and people skills.
  • Proficiency with Microsoft Office and strong computer skills.
  • Ability to meet deadlines and handle multiple priorities at the same time.
  • Strong attention to detail and organizational skills.
  • Ability to take initiative and learn quickly.
  • “Can-Do” attitude and willingness to help with various tasks around the office.

Pay & Benefits

The anticipated compensation range for the position is $20- $24 per hour, is based on market and business conditions, and is commensurate on individual education, qualifications, and experience. This is a part-time position and not eligible for paid time off or benefits.

Work Conditions & Travel

This is an onsite role out of our Downers Grove, IL headquarters. A highly collaborative in-office environment that flourishes when individual and team contributions combine to achieve target goals and objectives. The workplace is dynamic, fast-paced, and flexible. Regularly required to sit; occasionally required to stand; walk; occasionally lift and/or move up to 15 pounds.
