The City of Seward is recruiting for an Executive Assistant AdministrationThis position provides a variety of administrative and organizational assistance to the City Manager
EXAMPLE OF DUTIES
DETAILED WORK DUTIES: Receives calls and visitors for the City Manager and Deputy City Manager.Maintains City of Seward phone tree and forwards calls to appropriate departments. Coordinates appointments for the City Manager and Deputy City Manager.Keeps a current calendar for City Manager and Deputy City Manager.Maintains confidentiality of Attorney correspondence, contract documents, bids and proposals as appropriate.Provides a variety of organizational, administrative and program management coordination between Administration and the boards and commissions.Coordinates, edits and reviews all agendas and resolutions in a timely manner when needed.Aids with the Emergency Operations Center (EOC) during emergencies.Maintains Emergency Operations Plan (EOP) binder. Issues new binders for departments without one and sends out all updates to department heads as they become available. Maintains certificates of insurance.Distributes legal and other correspondence to appropriate departments, City Manager, Deputy City Manager, and/or City Attorney.Reviews, processes, and signs check requests, inputs requisition’s and provides other documentation as instructed by the City Manager and Deputy City Manager.Performs research projects and prepares reports as instructed.Makes travel arrangements for the City Manager and Deputy City Manager and completes expense reports.Provides effective and efficient customer service and promotes and maintains responsive community relations.Follows safe work practices.Performs other administrative and clerical related duties as assigned for other departments.
