Key Qualifications:
- Experience: 2-3 years in administrative support, with travel coordination expertise and experience as a must have.
- Background: Preferred candidates will have experience in logistics, cruise line operations or as executive assistant.
- Excel Proficiency: Strong Excel skills are a must!
Must-Haves:
- Fluent in written and spoken English.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Highly organized and detail oriented.
Primary Responsibilities:
- Manage general phone inquiries courteously and professionally, taking messages and answering routine and non-routine questions.
- Provide accurate information in response to general inquiries.
- Greet clients and visitors with a friendly and professional demeanor.
- Handle office administrative tasks efficiently.
- Create reports, memos, and documents using word processing and spreadsheet software, ensuring accuracy and clarity in final copies.
- Update and maintain the job calendar and team deployment schedules.
- Coordinate travel arrangements for technicians, including flights, transfers, and accommodations.
- Maintain communication with technicians to monitor availability and keep them informed of schedules.
- Update and ensure the accuracy of organizational databases.
- Provide secretarial and administrative support to management and staff.
- Assist in planning and booking travel arrangements for meetings and other staff requirements.
- Oversee the maintenance of office equipment.
Job Type: Full-time
Salary: Starting at $20.00/hour, with higher compensation based on experience.
