Position Overview

The Event Manager (EM) is responsible for overseeing and directing staff on-site before, during, and after catering events. This includes planning and directing the physical setup of events, managing on-site co-managers and staff, and overseeing event breakdown. The EM receives and reviews detailed event information to ensure execution aligns with client vision.

Reports to : Director of Event Service Manager and Event Service Managers

Direct Reports : Equipment Managers, Captains, Servers, Bussers & Porters

Essential Functions

Client Relations and Event Management

  • Maintain the utmost discretion and professionalism in this highly visible, client-facing position. - Communicate effectively with CEOs, company executives, and other notable figures while maintaining composure and appropriate demeanor.
  • Monitor entire events from start to finish, overseeing all aspects including service, setup, and breakdown.
  • Adapt and adjust to client-requested changes as needed.
  • Coordinate closely with Event Producers & Sales Managers to address concerns and maintain highest standards.

Operational Leadership

  • Review and implement Event Timeline using Event Detail Sheet (EDS) & Equipment Pack Lists (EPL). - Make strategic decisions regarding staffing, equipment, and products as needed.
  • Conduct comprehensive Front of House (FOH) service staff meetings.
  • Coordinate with Event Chef (KM) on menu timing and service plan.
  • Oversee & Collaborate with Equipment Manager (EQ) on all catering equipment logistics and troubleshooting and shortages or issues.
  • Coordinate with Bar Manager (BM) on beverage service and staffing needs.
  • Staff Management

  • Time sheet management and Staff performance evaluations.
  • Create and review service plans with the Director of Event Services.
  • Conduct on-site training for new and tenured staff.
  • Maintain constant floor presence during setup, service, and breakdown.
  • Guide and motivate subordinates while setting and monitoring performance standards.
  • Documentation and Quality Control

  • Complete digital Post Event Notes for each event.
  • Conduct final venue walk-throughs with documentation.
  • Coordinate with venue management for final inspection.
  • Job Qualifications

    Required Experience and Skills

  • Minimum 2 years of Event Management experience required.
  • 2 years of Catering, Hospitality Management or Event coordination experience preferred. - Strong team development and leadership abilities.
  • Excellence in time management and organization.
  • Superior written and verbal communication skills.
  • Proven decision-making and problem-solving capabilities.
  • Proficiency in conflict resolution and negotiation.
  • Effective personnel management and motivation skills.
  • Physical Requirements and Working Conditions

    The physical demands described here are representative of those that must be met to successfully perform the essential functions of this job :

  • Moving around event spaces and venues to supervise operations and monitor event progress. - Regular standing, walking, bending, and movement throughout events.
  • Occasional lifting or handling of event equipment and supplies weighing up to 25 pounds. - Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  • Additional Qualifications

  • High School diploma or GED equivalent
  • Proficiency in Microsoft Office Suite or Google Documents Suite
  • Knowledge of common catering & restaurant equipment is required.
  • Reliable transportation to event sites required (reasonable accommodations provided as needed) - Food Handler Certification (preferred)
