We are currently seeking a Fleet Parts Specialist to join our team in Springfield, MO.
Position Summary:
The Fleet Parts Specialist is responsible for managing the inbound and outbound transactions of parts, processing core returns, and handling warranty claims within the parts inventory. This role coordinates the pickup and delivery of parts from vendors and performs administrative tasks such as managing vendor billing and credits. The Fleet Parts Specialist ensures the timely availability of high-quality parts for repairs, maintenance, and upgrades, supporting the overall efficiency of the fleet operation.
Key Responsibilities:
- Transaction Management: Track all inbound and outbound transactions of parts, ensuring accurate records are maintained. Process core returns in a timely manner and handle warranty claims to ensure proper documentation and resolution.
- Vendor Coordination: Coordinate with vendors for the timely pickup or delivery of parts. Manage communication with vendors via phone or email to ensure parts are delivered on time and meet quality standards.
- Inventory Management: Oversee the parts inventory, ensuring proper handling, storage, and stock levels to support fleet operations. Work closely with the fleet maintenance team to ensure that parts are available for scheduled repairs and maintenance.
- Administrative Support: Manage the billing and credit process with vendors, ensuring accurate documentation of transactions. Address any discrepancies in billing or credits promptly and efficiently.
- Parts Procurement: Collaborate with internal teams to identify parts requirements and source the appropriate parts from vendors. Ensure parts meet specifications and quality standards.
- Record Keeping: Maintain accurate and up-to-date records of all parts of transactions, including purchase orders, invoices, and delivery receipts. Ensure proper tracking of parts usage and inventory levels.
- Warranty and Returns Management: Process warranty claims and returns efficiently, working closely with vendors to resolve issues and ensure compliance with warranty terms.
- Collaboration: Work closely with the fleet maintenance team to identify parts needs for repairs, maintenance, and upgrades. Provide expert advice on parts availability, alternatives, and sourcing.
- Cost Management: Monitor costs related to parts procurement, returns, and warranty claims. Assist in identifying opportunities to reduce costs while maintaining the reliability and quality of the fleet.
- Safety and Compliance: Ensure that parts and processes comply with safety standards and regulatory requirements. Maintain safe storage and handling procedures for parts.
Qualifications:
- Education: High school diploma or equivalent (Required). Associate’s degree or certification in automotive technology, fleet management, or a related field (Preferred).
- Experience:
- Minimum of [2-4] years of experience in fleet management, parts management, or a related field.
- Knowledge of vehicle parts, warranty claims, and parts procurement processes.
- Experience with inventory management and procurement systems.
- Valid Class E Driver’s License, required
- Skills:
- Strong understanding of automotive parts, inventory management, and fleet maintenance.
- Excellent organizational, time-management, and multitasking abilities.
- Proficient in Microsoft Office Suite and inventory management software.
- Strong communication skills, both verbal and written.
- Ability to manage vendor relationships and negotiate terms effectively.
- Detail-oriented with strong problem-solving skills.
- Physical Requirements: Ability to lift parts (up to 50 lbs) and work in a warehouse or garage environment.
Work Environment:
- The Fleet Parts Specialist will primarily work in a garage environment, with occasional visits to vendor locations as necessary.
