Position: Property Management Administrative Assistant
Work Schedule: 8 hours/day, Monday through Friday (9 a.m. to 5 p.m.)
Location: Shalom House, Inc. Portland
Reports to: Property Manager
Position Overview:
As a Property Management Assistant Manager, you will play a crucial role in ensuring the smooth operation of our buildings by assisting in the management of day-to-day administrative functions. You’ll work closely with our Property Management team to handle tenant issues, oversee property maintenance, and ensure compliance with industry regulations.
Key Responsibilities:
- Administrative Oversight (30%): Handle administrative tasks such as typing and mailing correspondence, preparing move-in packets, and ensuring all property management-related functions are accurate and compliant.
- Property Management Support (45%): Assist with inspections, track maintenance issues, conduct tenant background checks, and manage tenant-related documentation (e.g., certifications, recertifications, lease agreements).
- Administrative Management (15%): Provide support in the management of office-related tasks such as typing documents and maintaining property management software.
- Compliance (5%): Assist with regulatory requirements related to tenant eligibility and housing programs (HUD, LIHTC, MSHA).
- Miscellaneous Projects (5%): Participate in team meetings and contribute to special projects as assigned.
Physical Demands:
- Ability to sit, stand, and perform tasks at a computer for long periods.
- Capable of lifting up to 15 lbs.
- Routine administrative tasks involve using hands and fingers for typing.
Work Environment:
- Friendly office environment with occasional client interactions and moderate noise levels.
Qualifications:
- Education: Associate's degree or equivalent work experience.
- Experience: Minimum of two years in administrative or support functions.
- Skills: Proficiency in Microsoft Word, Excel, and typing; ability to handle routine office tasks efficiently.
- Communication: Strong written and verbal communication skills, with the ability to interact professionally with internal and external parties.
- Mathematical Ability: Basic math skills, including addition, subtraction, multiplication, and division.
- Reasoning: Ability to apply logical thinking to solve practical problems and streamline processes.
