Join Our Team as a Property Management Administrative Assistant!
We’re looking for a friendly, detail-oriented, and highly organized Property Management Administrative Assistant (PMAA) to join our amazing team! If you thrive in a fast-paced environment, love working with people, and enjoy keeping things running smoothly, we’d love to meet you!
In this role, you'll play an important part in supporting our property management team and helping our properties run like a well-oiled machine. From assisting with property-related tasks and clerical duties to managing the front desk and office operations, you’ll be at the heart of our team, making sure everything is taken care of and everyone is happy.
What You’ll Do:
- Be the first point of contact for visitors, tenants, and callers, ensuring they receive a warm welcome and helpful information.
- Keep our office running smoothly by maintaining office supplies, equipment, and handling mail distribution.
- Assist with property management functions like entering data, tracking accounts, and reporting to keep everything up to date.
- Respond to tenant inquiries, schedule maintenance, and help with other tasks to ensure tenant satisfaction.
- Coordinate with vendors and contractors to ensure work gets done on time and within budget.
- Assist in preparing reports and presentations for management, from financial reports to market analysis.
- Perform a variety of administrative duties to keep everything running smoothly and efficiently.
What We’re Looking For:
- A high school diploma (or equivalent).
- At least 2 years of experience in an administrative role (experience in property management is a plus!).
- Excellent organizational skills and the ability to juggle multiple tasks with ease.
- Strong communication and interpersonal skills to connect with tenants, vendors, and team members.
- Proficiency in Microsoft Office Suite to keep things organized and on track.
Bonus Points for:
- An Associate’s or Bachelor’s degree in Business Administration or a related field.
- Experience with property management software like Boston Post or MRI.
- Familiarity with fair housing laws and regulations.
