Job description
Shambaugh, Kast, Beck and Williams, LLP is a mid-sized law firm is hiring a legal assistant to provide support to attorneys in the areas of litigation. Specific areas of litigation may vary, but likely to include family law, personal injury, probate litigation, and general litigation. Applicants should have a solid work ethic, show initiative, and be strong in the areas of professionalism, interpersonal communication, attention to detail, and organizational skills. Additional qualifications and expectations are as follows:
Litigation-specific job duties
- Professionally screen incoming client calls and assist with and manage client communication and correspondence.
- Manage, organize and maintain files.
- Manage mail and calendar for responsible attorney(s).
- Transcribe and prepare documents, including pleadings, correspondence and other items from dictation and audio equipment.
- Coordinate, file and manage pleadings with Court, as directed or prepared by responsibly attorney(s).
- Prepare basic pleadings and other documents with minimal direction, for subsequent attorney review and edit.
- Manage and coordinate discovery processes, including gathering and organizing documents, data and other information responsive to discovery requests, the preparation of discovery requests and responses, and organizing and inventorying documents received in discovery responses.
- Provide assistance in comprehensive evaluation and analysis of litigation-related materials, such as the organization, review and summary of medical records.
- Provide assistance to attorney(s), as directed, in preparation for client meetings, hearings, depositions, and related matters.
- Other duties as designated.
General job duties
- Manage the process to open client files and close such when representation has concluded.
- Manage electronic directories for files and hard copy records of files.
- Coordinate and manage billing for client files.
- Provide assistance, as required, for general office duties (such as answering phones, distributing mail, and managing supplies).
- Other duties as designated.
Specific Qualifications
- Knowledge and experience with modern law office procedures, and an understanding of the importance of confidentiality in such context.
- Ability to communicate professionally and effectively with attorneys, clients, and court representatives, including the use of proper English, grammar, spelling and punctuation.
- Initiative to work independently, and to manage workload to meet recognized and stated deadlines.
- Experience with and technical acumen for use of the following computer-based programs: Word Perfect; Microsoft Word; Outlook; Microsoft Excel; TABS.
- High school degree mandatory, and experience working in law office is preferred.
- References should be made available.
