The Associate will provide communication, administrative, and technical support to the Center for Best Practices (CBP) team. This includes leading the building and distribution of external newsletters, providing backend support for webinars, processing invoices, supporting conference logistics (during the planning process and on-site during the event), managing the CBP email inbox, helping to maintain the CBP website, and more.
This position requires a high-performing individual capable of managing multiple priorities across a dynamic, collaborative team. The ideal candidate has outstanding interpersonal skills, is customer service oriented, and is organized, proactive, and ambitious.
The Associate will report to the Managing Director, Center for Best Practices for day-to-day management and priority setting but support the full Center for Best Practices team.
This position is preferably based in Washington, D.C. (Hybrid- 2 days per week); but could be fully remote for the right candidate living outside of the DC area 30 miles or more. The position offers a range of $60k-$64k. Exact compensation within the stated salary range may vary based on skills, experience, internal equity, and geographical location.
DUTIES AND RESPONSIBILITIES:
Administration and Event Management
- Support CBPs financial processes, including submitting check requests, processing invoices, and requesting and managing required documentation.
- Provide admin and logistics support for both virtual and in-person conferences, including but not limited to building and maintaining registration sites (e.g., Eventbrite); managing communication (mass and 1:1) to invitees, registrants, and attendees; managing the execution of our travel support process; maintaining and ordering materials; and providing on-site customer service.
- Lead logistics support for CBP webinars, which includes scheduling webinars within the Zoom platform, being the back-end technical support, sending follow-up emails to registrants, and posting webinar assets (e.g., registration page, recording, and slide deck) on the CBP website.
Communication
- Manage external CBP email communication, including but not limited to electronic newsletters, webinar promotion and follow-up emails, and calls to action.
- Maintain CBPs general email inbox, including answering basic emails and connecting with CBP team members on specific requests as needed.
- Support CBP website maintenance and upgrades, including, but not limited to, keeping web content current, enhancing webpages with visually appealing content, uploading new resources, training staff in how to post and make changes to the website, making suggestions for website changes based on usability and audience feedback, and participating in new website updates and webpage builds.
- Coordinate with the Share Our Strength Communications team to promote CBP resources and events. Support CBP staff in designing and drafting social media posts. Use social media analytics to suggest where and how to grow our audience and improve our resources and communication strategies.
Strategic Support
- Present on behalf of CBP at internal team meetings and new hire onboarding sessions.
- Partner with colleagues to support Share Our Strength's work to be a diverse and inclusive organization and ensure this value is embedded in the organization and throughout our work
- Travel up to 5%
QUALIFICATIONS:
- Bachelors degree is preferred but not required, or equivalent professional and work experience.
- Three or more years of work experience in a professional environment.
- Exceptional attention to detail and highly organized.
- Strong customer service and project management skills.
- Demonstrated ability to work independently and proactively, support and lead projects, meet multiple concurrent deadlines, and organize time and priorities.
- Excellent written and verbal communication skills and intuitive interpersonal skills.
- Proficiency in Microsoft Office and Google Workplace products.
- Experience with website management, posting, editing, and tracking website analytics is a plus.
- Familiarity with MailChimp (or a similar e-mail marketing system), Canva, and Zoom is a plus.
- Experience running webinars with multiple speakers and large audiences is a plus.
- Outstanding relationship-building skills, including the ability to identify and work through challenges, underscored by strong judgment and emotional intelligence.
