Summary
The Administrative Support Coordinator will greet, assist and provide direction and information to clients, visitors, and other guests of Sharp. This position provides high-level administrative and general office support to the Executive, Finance, Human Resources and Quality Assurance departments including but not limited to guest reception, conference room, calendar management support, filing, faxing, copying, receiving and distributing office mail. The Administrative Support Coordinator will provide support for onsite meetings, events and activities.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Greet clients, visitors, and guests as well as determine the purpose of each person’s visit and direct or escort him/her to the appropriate location within the facility and notify corresponding party upon arrival.
Receive mail, documents, packages and courier deliveries and distribute them accordingly.
Prepare, complete, maintain and file administrative records, forms, and reports.
Maintain the integrity and confidentiality of files and records.
Assist with preparations and provide ongoing support for onsite meetings, events, and/or activities.
Ensure the reception area is tidy and presentable, with all necessary stationery, office supplies and materials readily available.
Maintain office safety and security by following procedures and controlling access via the reception desk (ex. Ensure visitors are checking in/out through visitor access kiosk).
Update conference room calendars and schedule meetings as requested.
Achieve expected performance measures.
Support Executive Assistant in other duties as assigned.
Place sitewide office supply orders as needed and distribute them to requestors.
Adhere to set safety standards.
Participate actively in regular meetings.
Achieve expected performance measures.
Other duties as assigned.
Qualifications

Minimum of one (1) year of relevant work experience

Strong computer skills as well as high proficiency in Microsoft Office Suite, specific to Excel, PowerPoint, Visio and use of the internet
Excellent organizational skills and attention to detail
Ability to operate general office equipment (ex. Printer/copier/fax, computers, tablets, etc.)
Ability and commitment to maintain the highest standards of confidentiality where applicable
Must be self-starter
Ability to think critically and proactively
