Summary/Objective: An employee working as Front Office Dental Receptionist with the Shasta Cascade Health Centers welcomes patients and visitors in person and on the telephone; provides answers or refers patient inquiries; schedules patient appointments, optimizing patient satisfaction, provider time, and treatment room utilization; registers patients, obtaining information needed; manages front desk and performs routine clerical, data entry and data retrieval tasks.
Essential Functions:
- Greets patients and visitors, in person or by telephone, answering patient questions or directing their inquiries to the appropriate person/department.
- Assists patients with check-in and check-out. Registers patients, obtaining necessary patient information for registration and insurance filing.
- Maintains a positive atmosphere in the reception area. Comforts patients (and family) as needed by anticipating patient anxieties and answering patient/family questions. Helps patients in distress by responding to emergencies.
- Schedules appointments, in person or by telephone, while optimizing patient satisfaction, provider time, and treatment room utilization.
- Makes follow-up calls to patients to confirm appointments.
- Keeps patient appointments on schedule by notifying the back office staff of patient arrivals, delays or no-shows.
- Files and retrieves patient records, ensuring availability of treatment information.
- Maintains patient accounts by obtaining, recording and updating personal and financial information.
- Collects and records patient charges.
- Runs daily Receipt of Payment report and corresponding “Day Sheet Payments by User” report for Bookkeeping department.
- Protects patients' rights by maintaining confidentiality of personal and financial information.
- Distributes and collects Patient Satisfaction Surveys.
- Scans varied documents.
- Checks faxes.
- Other duties as assigned.

Supervisory Responsibilities:
This position has no supervisory responsibilities.
Work Environment:
This job operates in a professional dental clinic environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Travel:
No travel is expected for regular job duties. Travel may occasionally be required for training purposes. If personal vehicle is used for specified job-related errands or travel to/from training events, mileage will be reimbursed as specified in the Employee Handbook.
Qualifications
Education, Experience, Certifications, Licenses and Registrations:
- Required education: High school diploma or equivalent.
- Preferred education: Associate degree in related field
- Two years’ experience working in a related position preferred.
- Basic Life Support (BLS) certification, or ability to become certified.
Skills and Competencies:
Verbal and written communication proficiency, ethical conduct, flexibility, initiative, ability to multi-task, time management, highly organized, detail orientated. Customer services skills, sensitivity to client needs, remains calm in emergency situations, upholds strict confidentially requirements. Familiarity with computer processes, including word processing and spreadsheet programs.
