Job SummaryUnder immediate supervision of the Administrative Services Supervisor, the Behavioral Health Assistant performs triage functions for Psychiatric providers, assisting with appointment preparation, measuring vitals, screening/responding to medication requests/questions, and obtaining/sharing necessary documentation to coordinate services. Provides office support duties, such as answering calls, scheduling appointments, scanning program documents and communicating client needs to respective agency staff members.
Essential Duties & Responsibilities:
-Triages clients for telehealth and in-person psychiatric appointments, measures client’s vitals, attends to client’s needs during appointment as needed/requested, and completes required follow up paperwork, such as prescription coordination, prior authorizations, urine analysis order forms and laboratory orders, for Provider’s signature.
-Prepares client’s record for Provider appointments, including certifying Prescription Drug Monitoring Program data, updating pharmacy/insurance/allergies/contact information, ensuring medication contracts/informed consents/treatment plans are up to date and any changes in medical/psychiatric status are documented in client’s record.
-Documents services provided to each client and provides transcription for Providers as needed. Types medical reports and similar materials (i.e. forms, letters) for Providers. Closes referrals or client records as indicated by Provider or clinic policy.
-Processes prescription refills and instructs clients/guardians regarding treatment recommendations according to the Provider’s orders. Trouble shoots medication issues from clients, pharmacies, external providers, etc. Educates and distributes educational materials as directed by Provider.
-Performs random and scheduled urine analysis as directed by the Provider.
-Monitors patient appointment attendance and assists with keeping clients on track with their scheduled appointments and treatment plan goals.
-Answers multi-line telephone, providing information on services, schedules appointments, and links to respective agency staff members.
-Coordinates logistic support to the Department, such as ordering supplies, oversees agency vehicles maintenance/mileage logs, and troubleshoots problems with office equipment.
-Coordinates clients' needs at reception window, such as obtaining client signatures, scheduling appointments, receiving payment for services and notifying necessary personnel of appointment arrivals.
-Coordinates Family Court Mediation Services, including handling referrals, providing orientation, and communicating progress updates to/from the Family Court Commissioner, coparents, and mediator.
-Attends staff meetings and participates in trainings to improve client care and clinic practices.
-Performs additional duties as assigned to support the Mission, Vision, and Values of Shawano County Department of Human Services.
Work Requirements:
-High School Diploma or equivalent.
-Medical Assistant Certification, Certified Nursing Assistant or related field preferred.

Pay: $19.14 - $24.60 per hour
