Secretary I’s are responsible for performing receptionist duties at the primary reception desk, ATI reception desk, and medical area of the Adult Detention Center during normal business hours. Additional responsibilities include but are not limited to:
- Prepare and print daily reports as needed, ensuring they are distributed to the appropriate individuals or agencies.
- Notify correctional facilities of male and female transports via phone call or fax.
- Answer and transfer telephone calls to the appropriate department personnel.
- Deliver mail to office personnel, log all incoming inmate mail, and prepare outgoing mail for pickup.
- Monitor visitation software to ensure compliance with facility rules and regulations.
- Log all visitors to the Adult Detention Center, record medications or items dropped off for inmates, and notify the Alternatives to Incarceration Unit when inmates check in.
- Schedule ministry visits and DNA appointments, accept and receipt payments for incarceration, and verify MPR information in the Records Management System.
- Assist the Alternatives to Incarceration Unit with data entry for work and group schedules, as well as support UA testing as needed.
- Scan correspondence and inmate medical records for documentation.
- Maintain inmate medical charts with current information, schedule and verify medical appointments, and return medications to released inmates.
- Direct requests for information or complaints to the appropriate personnel authorized to handle such matters.
- Process requests for detention center and medical records, ensuring approval before release to the public.
- Assist Secretary II’s with the data entry of warnings into the Records Management System as needed.
- Perform any other duties assigned by the Sheriff or their designee.
High school diploma or equivalent.
Self-motivated with the ability to effectively, efficiently and entirely complete assignments with minimal supervision.
Ability to type 35 words per minute.
Ability to communicate in a clear and concise fashion in both verbal and written form.
Ability to work independently or as part of a team.
Ability to be supervised.
Ability to function in stressful situations.
Ability to maintain confidentiality and good working relationships with co-workers and other staff.
Ability to maintain regular and predictable work attendance.
