STATUS: Full-time, Non-Exempt
PAY RATE: $22.00/hr.
POSITION OVERVIEW:

We are looking for someone resourceful, organized, and discerning to join our team as a Human Resources Assistant.
Reporting to a leader of the benefits team, the Human Resources Assistant will hold a broad range of responsibilities. The role will focus heavily on generalist work, benefits, partnering with the payroll team, HRIS management, and compliance reporting. The Human Resources Assistant is critical in strengthening the employee experience, providing great internal ‘customer’ support, and driving HR functional excellence and process improvement.

- Serve as a reliable source of information for employees, promptly answering questions
- Monitor HRIS (ADP WorkforceNow) to ensure quality assurance and data integrity
- Support employee ADP self-service entries and make necessary updates
- Process status, personal information, benefit, and compensation changes in ADP and benefit vendor systems
- Process terminations, compile departure paperwork, and schedule exit meetings
- Maintain and update the organizational chart to reflect accurate reporting structures
- Perform internal data audits for HR operations and projects
- Coordinate with Payroll Manager on change form/payroll form submissions and audit bi-weekly payroll register
- Support compensation projects, including preparation, system updates, and reporting
- Maintain soft benefit listings and support employee inquiries and discrepancies, including complimentary ticket access
- Contribute to Shedd’s wellness programming and event coordination/planning
- Submit workers’ compensation injury information to carrier, generate forms and communication for impacted employees, and maintain follow-up as needed
- File timely government reports and ensure compliance with various regulations:
- Including, but not limited to: EEOC, EPRC, OSHA, Illinois New Hires, etc.
- Various reports for the immediate team, other departments, grants, and our Human Capital Committee
- Respond to unemployment claims by collecting and providing relevant information
- Handle purchasing, invoicing, and contract submissions for the HR department
- Process anniversary, raffle, and wellness incentives via Shedd’s gifting platform
- Collect, sort, and deliver incoming mail to the HR department
- Process HR department timekeeping for payroll processing
- Other HR-related administrative tasks, reporting requests, and special projects as needed
EDUCATION:
- High school diploma or equivalent experience
- 2 years of experience working in human resources
- Foundational knowledge of human resource processes, terminology and programs is required
- Experience with Human Resources Information System (HRIS) – ADP WorkforceNow is preferred
- Experience working in Microsoft Office – knowledge of SharePoint and Excel is preferred
- Ability to maintain confidentiality of sensitive information
- Ability to connect with people of diverse backgrounds and establish rapport with others at all organizational levels
- Ability to plan, organize, and prioritize work while managing multiple deadlines in a continually changing work environment
- Ability to be creative in troubleshooting and resolving technical issues
- Demonstrated ability to use sound judgment and apply critical thinking skills when making decisions
- Flexible, adaptable, self-managed, organized, with strong attention to detail
- Strong verbal and written communication skills
