Job Opportunity: Billing Specialist at Shelby Law Firm
Shelby Law Firm, a small and collaborative law firm, is seeking a Billing Specialist to join our team. If you are highly organized, detail-oriented, and possess a strong background in billing and bookkeeping, we want to hear from you! This role will require a proactive individual who can work independently after training and manage the firm’s billing processes across various practice areas, including insurance defense, immigration, and successions.
Responsibilities:
Create Client Bills:
- Enter client matters into QuickBooks.
- Enter time into Timeslips and generate invoices.
- Revise and update invoices as needed, ensuring compliance with billing codes.
- Edit and finalize paper and electronic invoices and upload them for payment.
- Monitor billing deadlines.
Appeal Process:
- Manage appeals by calculating deadlines, checking websites, and submitting electronic appeal forms.
Receive and Process Payments:
- Post client payments to QuickBooks.
- Monitor and update immigration and succession client payments, issuing receipts and ensuring payments are recorded accurately.
Collections Monitoring:
- Monitor and update Senior Partner on status of Account Receivables.
Administrative Tasks:
- Create Payroll.
- Update and manage accounting files and ensure proper file naming conventions are followed.
- Communicate with attorneys and staff to resolve any discrepancies or issues.
Qualifications:
- Minimum of 2 years of experience in billing, bookkeeping, or accounting (legal billing experience preferred).
- Strong organizational skills with the ability to manage multiple deadlines.
- Proficiency in QuickBooks (minimum 2 years experiences), Timeslips, Microsoft Office, and Outlook.
- Strong attention to detail.
- Ability to work independently and proactively within a structured environment.
- Excellent communication skills to interact with attorneys, clients, and staff.
- Previous experience in the legal field is a plus but is not required.
