Position Purpose and Summary : The Loan Servicing department is responsible for transferring all consumer, commercial, and real estate loan data into files on the bank’s host system, verifying accuracy of data input, and further servicing throughout the life of the loan. Employees in this position will build strong relationships with loan officers and their assistants in an effort to provide the highest level of quality service and support. Under general supervision and in accordance with established policies and procedures, a number of duties may be asked of the person filling this position.
Main Duties and Responsibilities :
- Provide the highest level of service to customers and co-workers
- Import loans onto bank’s host system in a timely manner
- Post all loan account entry transactions electronically
- Assist with daily, weekly & monthly loan reports
- Assist with boarding & funding of all loans on CIM system – learning about all loans
- Assist with remittance payments to FNMA
- Image files into File Services Plus in CIM
- Monitor tracked items for loan files in Fields Tickler system
- Print & mail late notices on loans
- Print & mail statements on Line of Credits (notepad on system)
- Assist with payment booklets
- Assist with loan paid outs – closed loans
- Verify that all loan data has been imported on to system accurately and correctly
- Assist with mailing documents, titles, etc. to customers on their paid-out (closed) loans
- Answer phone calls directed to the Loan Servicing Department
- Assist customers in the Walk-Up Window
- Quote payoffs, balances, etc. and notepad on to system
- Print and mail loan statements, year-to-date statements, etc. as requested
- Complete all loan file maintenance / corrections
- Set up account auto drafts as requested by customer
- Complete change of address requests from customers
- Set all interest payment transactions
- At loan officer’s request, remove “holds” placed on loans & place “holds” on loans
- Complete loan disbursements on customer lines of credit, construction loans, and mortgage closings
- Assist loan auditors; pulling files, printing statements, etc.
- Pay taxes due on escrow mortgage accounts (begins in October & ends in December)
- Assist with mass escrow analysis on “Fixed Rate Mortgage loans”; payment booklets, auto-drafts, etc. (begins in January)
- Assist with processing escrow analysis on poultry loans
- Assist with loan payment extensions
- Assist with working files that require release of collateral – releasing titles with SSB lien
- Promote and refer customers to appropriate bank personnel for products or services
- Keep area secure and clean at all times
- Report any discrepancies or suspicious activity
- Assist others, cross train with fellow employees
- Involvement in community events and / or civic organizations
- Saturday Teller Rotation (monthly)
- Help in Working Reception Desk Phone calls (lunch time)
- Help keep track of all Loan Servicing Supplies needed (notifying supervisor of supplies needed)
- Other duties as assigned & asked of you by supervisor for needed assistance

The loan servicing employees are all stationed at a desk within close vicinity of each other, calling for a great deal of cooperation, respect and discretion on the part of each employee in the department. Each person in the department is assigned certain duties, however assisting others within the department or cross-training in particular duties is not uncommon. Most seem to enjoy this closeness and become good friends and helpers to one another. Loan servicing employees typically work 8-9 hours a day, averaging 40 hours per week. Typical weekly hours would be; Monday through Thursday, 8 : 00 a.m. – 4 : 30 p.m. and Friday, 8 : 00 a.m. - 5 : 30 p.m. with a required minimum 30 minute lunch break, however you are allowed up to an hour. Rotational work on Saturdays in the Teller position, 8 : 00 a.m. to 1 : 00 p.m. is included in the job duties and days are scheduled well in advance for preparation and convenience. This is a non-exempt position.
