The Role:
We are seeking a dedicated, resourceful Office Manager to anchor the daily flow of our busy design firm. In this vital role, you will oversee internal operations, order management, vendor coordination, and team support, helping ensure our designers can stay focused on delivering exceptional spaces. - Office Administration: Manage general office duties including answering phones, ordering supplies, greeting visitors, and keeping the studio environment polished and professional.
- Financial Processing: Support the accounting team by organizing client invoices, vendor receipts, and subcontractor billing in alignment with accounting systems.
- Document Management: Maintain organized digital filing systems for liability insurance, subcontractor documentation, and purchase records.
- Full Order Management: Oversee the complete order process, from vendor coordination to internal tracking with designers and clients.
- Team Support: Assist with internal operations such as coordinating celebrations for birthdays, anniversaries, and holidays to foster an engaged and supportive studio culture.
- Workflow Coordination: Use project management and communication tools to ensure seamless collaboration across teams.
- Strong proficiency in Google Workspace (Gmail, Drive, Calendar)
- Experience with project management and industry-specific platforms preferred (Studio Designer, Hubdoc, Asana, Slack, LastPass).
- Exceptional communication skills — both verbal and written — with the ability to interact thoughtfully and professionally with clients, vendors, and team members.
- Highly organized, detail-oriented, and proactive — able to prioritize, self-manage, and adapt in a fast-paced creative environment.
- A positive, friendly, can-do attitude — we value kindness, collaboration, and professionalism.
- Commitment to confidentiality, discretion, and integrity in all aspects of business operations.
- Ability to climb 26 stairs daily (our historic downtown Bozeman office does not have an elevator).
Compensation & Work Environment:
- Job Type: Full-Time, On-Site
- Schedule: Availability during key business hours, Monday–Friday, 9:00 AM–5:00 PM
- Location: Downtown Bozeman, Montana
- Compensation: Competitive, based on experience (DOE)
