Sheppard, Mullin, Richter & Hampton LLP, a global Am Law 50 firm, is seeking an Intake Coordinator.
This position can be based in any of our U.S. offices. The offices are as follows: Downtown Los Angeles, Century City, Orange County, Del Mar, San Diego, Silicon Valley, San Francisco, Chicago, Dallas, Houston, New York, or Washington DC. There is only one opening.
The Intake Coordinator is a member of Sheppard Mullin’s Practice Management department, working under the direction of the firm’s Chief Practice Management Officer, and the firm’s Pricing Operations Manager. This individual is responsible for setting up new matters and processing and validating changes in the firm’s billing application.

- This position has a remote/hybrid work arrangement, with the expectation to be in the office on an as needed basis.
The Intake Coordinator is a member of Sheppard Mullin’s Practice Management department, working under the direction of the firm’s Chief Practice Management Officer, and the firm’s Pricing Operations Manager. This individual is responsible for setting up new matters and processing and validating changes in the firm’s billing application.
Responsibilities:
- Entry of new client/matter information into the billing system, including addresses, billing rates, formats, and special instructions
- Entry and validation of client and matter changes
- Set up alternative fee rate structures and maintain special rates
- Interface with staff and attorneys to ensure rates and instructions are accurate
- Proactively assist with data maintenance
- Electronic filing of new client and matter intakes
- Work overtime when necessary
Essential Functions of Job:
- Process and validate all components of billing set up for new matter intakes daily, and in a timely manner
- Process and validate all components of billing set up for change intakes daily, and in a timely manner
- Assist with ad hoc requests as needed from all levels of firm personnel including client/matter billing setup and reporting
- Assist with year end processes including rate updates, personnel changes, and financial reporting
Qualifications and Experience
Required Qualifications:
- 2 years of relevant experience
- Strong written and verbal communication skills
- High attention to detail
- Ability to work well independently and in a team environment

Ability to complete work within established deadlines
Preferred Qualifications: Understanding of legal billing and/or experience with Aderant
Education
Required: High School Diploma
Preferred: Bachelor’s Degree
Computer/Software Knowledge
Required:
- Proficiency with Outlook and Microsoft Word
- Basic typing skills (at least 35 WPM)
- 10 Key by touch

Proficiency with Excel
Preferred: Experience with Aderant/CMS or Elite
Work Environment
- You will be based in one of our local Sheppard Mullin offices but will be allowed to work from home.
- You are required to come into the office on an as-needed basis.
- Overtime will be required on occasion as the workload demands.
California: The pay range for this position is $28.00 to $38.00 per hour.
New York: The pay range for this position is: $30.00 - $41.00 per hour. Please note that the foregoing compensation information is a good-faith assessment associated with this position only and is provided pursuant to the New York City Salary Transparency Law.
Washington DC: The pay range for this position is: $28.00 - $38.00 per hour. Medical, vision, and dental coverage is available, including coverage for dependents and domestic partners. Please note that the foregoing compensation and benefit information is a good-faith assessment associated with this position as of the time of this posting and is provided pursuant to the District of Columbia Wage Transparency Omnibus Amendment Act of 2023.
