Summary of Job Description
The Group Housing Coordinator works closely with Sales and Marketing, Accounting, Conference Services, Revenue Team, and Group Meeting Planners to ensure excellent customer service and the highest level of accuracy in bookings is always provided.
Assist the Reservations/Revenue leadership in overseeing the efficient operation of the Reservations Department in executing group contracts and inputting group room blocks to accommodate guest needs and maximize revenue.
Responsible for maintaining files for all definite arrivals and using educated judgment to decide occupancy level. Work closely with Meeting Planners to meet contract terms. Reserve and block reservations for guests and accommodate special requests. Assist with accurate final group bill.
The pay rate for this position is $21.50/hour.
Work Hours
- Will be required to work flexible scheduled shifts based on business needs.
- Scheduling includes holidays, nights, overnights, and weekends depending on hotel events and functions.

- Extensive knowledge of the hotel, its services, and facilities.
- Ability to handle cash and balance cash drawer required.

Job Responsibilities
- Assist Reservations/Revenue Manager in handling big group blocks including convention/citywide groups
- Assist Reservations/Revenue Manager in coaching and training, implementing Department and company standard operation procedures and policies.
- Assist the Reservations/Revenue leadership with all definite paperwork for groups.
- Performs other administrative duties as required by the Revenue leadership team.
- Learn and be proficient in reservation systems (ie: GXP, Lightspeed, Passkey, and MARSHA)
- Responsible for entering reservations and creating group blocks in PMS & MARSHA.
- Responsible for creating reservation links for groups in PASSKEY.
- Make reservations for group blocks, individual reservations for long-term and repeat guests, and for guests who have negotiated corporate rates.
- Answer inbound calls; check voicemail/inbox and answer emails in a timely.
- Make reservations for VIP reservations.
- Communicate group information from Sales to Front office associates and ensure everything flows smoothly from the time of booking through check out.
- Pre-block team, group, and VIP rooms.
- Maintain files for definite arrivals and use educated judgment to decide occupancy level.
- Post advance deposits for Third Party Reservations and route billing when applicable.
- Send and Process credit card authorization forms
- Assist the Reservations Manager with all tentative and definite paperwork for groups. Assist the Front Office with pre-registration of V.I.P.s and preferred accounts.
- Assist in the preparation of forecast and GI Sheets and small group pickup reports.
- Demonstrate a thorough knowledge of hotel information including, but not limited to, room categories, room rates, packages, promotions, the local area, and other general product knowledge and answer guest questions and inquiries.
- Field guest complaints, conduct research, and resolve and negotiate solutions for guest satisfaction.
- Keep updated files on all upcoming groups upon receipt of turnover.
- Ensure the accuracy of room block between the Sales System, Property Management System, MARSHA, and Passkey. (ie: inventory, rates, and cutoff date)
- Act as liaison between the group and central reservations.
- Input rooming list and facilitate all changes, and billing upon receipt.
- Manually assign specific accommodations/suites based on contract and reservation requests.
- Provide weekly Report Packets (including guest names, room pickup, and concession assignments if applicable) to the Meeting Planner with a copy to the Event Manager.
- Attend Pre-Event or Pre-Planning Meetings when invited.
- Send In-house report packet to Meeting Planner (detailing, no shows, pickup, and in-house and arriving guests)
- Review Group Master Folios for accuracy. Assist Finance with any questions.
- Carries out supervisor requests in accordance with hotel policies and standard operating procedures.
- Follow 4 Keys service standards, standard operation procedures, and safety standards.
- Follow all appropriate policies and procedures while constantly striving to improve all standards of operations.
- Follow safety and security procedures.
- Work cohesively with co-workers and all departments as part of a team.
