Position: Specialty Clinic Medical Assistant / Surgery Scheduler
Reports to: Specialty Clinic RN
Job Summary: The Surgery Scheduler - Medical Assistant is a crucial component of the Specialty Clinic; they will work alongside the provider and staff to ensure that patients receive optimal care and to aid in office efficiency.
Essential Duties and Responsibilities:
- Review with the patient and document their physical/emotional condition, effectively obtain social, medical, and family history.
- Accurately obtain patient vital signs, height, weight, temp, pulse, and communicate any abnormalities to the provider.
- Complete Chief compliant with full documentation in the EMR.
- Provide support and assistance to the physician/practitioner during patient examinations and procedures.
- Interpretation and implementation of the physicians/practitioners recommended orders. (I.e. laboratory, samples, etc.)
- Complete documentation and charting of all clinical test results, and
other patient interactions. .
- Assist the patient in scheduling all follow-up appointments or referrals as necessary.
- In collaboration with the providers, create and maintain patient education information.
- Educate patient as ordered by Provider.
- Scan information into the electronic medical record as needed.
- Follow-up on all medical record issues with insurance companies, hospitals, and physician practices.
- Treat all patients and associates with respect and dignity, and provide professional service to them in a timely, polite and considerate manner.
- Maintain and ensure confidentiality of protected health information (PHI).
- Maintain and monitor Quality Improvement activities as requested.
- Maintain and monitor all office logs and controls as requested.
- Maintain a neat, clean, and safe working environment at all times.
- Must maintain current CPR certification.
- Initiate and keep current tracking for labs, diagnostic imaging, and referrals.
- Prepare Providers’ schedules for the next week (chart prep) by obtaining all information necessary to ensure efficiency.
- Discharge patients from rooms, providing education and follow up appointment(s).
- Clean rooms between each patient visit.
- Complete telephone encounters/communications daily.
- Review charts of Schedule II patients to determine the need for UDS, MAPS, and
current CSA, and alert provider of any discrepancies.
- Complete DME orders for provider signature.
- Process Prior Authorizations for medications or services.
- Complete forms (FMLA, off school/off work slip, insurance forms) for provider
signature.
- Monitor and order medical supplies per office protocol.
- Ability to multitask effectively in a fast paced environment and to be a self-starter.
- Ability to properly assist general surgeon with in office procedures: clean and sterile.
- Monitor supply level and stock rooms, monitor expiration dates.
- Organization skills and attention to detail are a must.
- Scheduling of patients and appropriate referrals upon check out with the provider.
- Following up with patients and procedures in a timely manner.
- Ability to maintain a professional and calm attitude/mannerisms along with clear communication.
- Ability to prioritize phone calls, voice-mail and other patient requests in a timely manner.
- Checking email and email fax frequently and responding to those requests.
- Knowledge of medical terminology.
- Keep up to date and accurate schedule of the providers and surgeons.
- Communication with anesthesia scheduling and updating the group with changes or requests.
- Preparing charts and collecting proper paperwork for the following clinic date.
- Acts as appointment scheduler for all providers in the clinic.
- Professional communication with other departments in the hospital.
- Communication and professional relationship with other provider offices.
- Knowledge and competence with computers, computer programs and systems primarily excel.
- Administer allergy injections and immunizations as ordered by the Provider.
- Performs other related duties as assigned.
- Remove stitches/sutures/staples under the direction of clinic provider
- Wound assessment and documentation
- Cast removal and placement
- Cast/boot assessment
- Dressing changes
- Potential additional duties/tasks/assistance within MA licensure scope of practice assigned by Specialty Clinic providers, RN or Director of Nursing.
Qualifications
Education, Experience and Other Requirements:
- Graduate of a Medical Assisting or Certification program required.
- Knowledge of the day-to-day operations of a medical practice, to include basic patient care skills.
- Medical terminology knowledge and the ability to accurately utilize the CPT and ICD 10 manuals.
- Data entry skills.
- Good communication skills required, in both verbal and written form.
- Ability to multi-task, prioritize and handle complex workload that requires meeting daily deadlines.
- Detail-oriented and well organized
- Required knowledge and compliance with HIPPA
ACCIDENT OR HEALTH HAZARD:
Requires exposure to communicable disease and/or bodily fluids, toxic substance, medicinal preparation and other conditions common to a clinic environment. The tasks performed on the job produce exposure to injuries obtained in use of equipment, hazardous material or health hazards (communicable diseases) that could result in permanent or long-term illness or injury.
PHYSICAL DEMAND/ WORKING CONDITIONS:
Agreeable office environment, duties may include light to moderate exertion of manual effort in transporting materials, equipment, and /or transporting patients; frequent standing and /or walking, lifting, bending, pushing, and /or pulling loads up to 25 pounds.
