Our client is a busy Amherst law office looking for a skilled and highly organized Legal Assistant to support our legal team with administrative and clerical tasks. The ideal candidate will have a strong understanding of legal procedures and terminology, excellent communication skills, and the ability to manage multiple tasks efficiently. As a Legal Administrative Assistant, you will assist attorneys by preparing legal documents, scheduling appointments, managing case files, and handling confidential information with professionalism and discretion.
Key Responsibilities:
- Prepare, proofread, and format legal documents such as contracts, pleadings, motions, and correspondence.
- Manage attorneys' calendars, schedule meetings, and coordinate court dates and deadlines.
- File legal documents with courts, government agencies, and other legal entities.
- Maintain and organize physical and electronic legal files and case management systems.
- Conduct basic legal research and compile necessary documentation.
- Handle client communications, including answering phone calls, emails, and greeting visitors.
- Draft and send correspondence on behalf of attorneys.
- Process legal invoices, billing, and expense tracking.
- Ensure compliance with court deadlines, filing requirements, and firm policies.
- Manage office supplies, order legal reference materials, and assist with general office duties.
Job Requirements and Qualifications:
Education & Experience:
- High school diploma or equivalent (required); Associate's or Bachelor's degree in Legal Studies, Business Administration, or a related field (preferred).
- Certification as a Legal Secretary or Paralegal (a plus).
- 2 years of strong administrative experience required.
- 2 years of experience in a legal environment or as a Legal Secretary strongly preferred.
Skills & Competencies:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
