Position Title: EARLY COLLEGE COORDINATOR

Supervisor: Principal

Category: Certificated

SUMMARY:

Under the general supervision of the Principal, provide students, families, administrators, and teaching staff with high school and college/career information, scheduling, developing a personal education plan, and provide other services for participating in the Sheridan AllPrep Academy Early College Program.

QUALIFICATIONS:

  • Must possess a valid driver's license, running vehicle, and appropriate automobile insurance.
  • Must possess job-related experience of desired skills, knowledge, and ability to perform the job.
  • Must possess excellent written and oral communication skills.
  • Must possess access to reliable internet connection.
  • Must have experience with college enrollment, either personal or professional.
  • Preference given to applicants with a valid certificate in teaching, school counseling, or administration.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist students in making course and subject selections, as well as with evaluating career interests and choices.
  • Coordinate with other staff members to ascertain individual student interests and needs, including students with special needs, and assist students and families with college and career exploration and application.
  • Collaborate with school staff on how to leverage PSAT/SAT/ACT test results.
  • Continue to acquire professional knowledge and learn of current developments in the school and college counseling fields by attending seminars, workshops or professional meetings, or by conducting research, and by maintaining professional relationships with members of institutions of higher learning and the business community.
  • Assist students with college and career planning, including but not limited to, college applications, letters of recommendation, transcript requests, transferability of credits, financial aid and scholarships, career pathways, and student interest inventories.
  • Familiarity with the Common Application.
  • Coordinate services for students, including students with special needs, serving as a liaison with college partners.
  • Monitors student progress in dual enrollment courses.
  • Organize and maintain a system for accurate and complete record-keeping and providing student information to prospective colleges and employers.
  • Encourage parental involvement in students' education and ensure effective communication with students and families.
  • Attend monthly meetings with the counseling and administrator team.
  • Provide information, update resources and introduce students to local colleges and postsecondary educational options, and maintain the annual school profile sent to colleges.
  • Offer virtual and in-person EC Coordinator led College tours, as requested.
  • Plans College Night and parent information nights.
  • Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES:

  • Supervises caseload of early college students.
  • Supervises virtual classroom, when applicable.
  • Supervises students during field trips and other off campus visits.
  • Establishes and enforces rules for behavior and procedures for maintaining order among the students for whom they are responsible.
  • Enforces administration policies and rules governing students.
  • Instructs and monitors students in the use and care of equipment and materials, in order to prevent injuries and damage.

WORKING CONDITIONS:

The early college coordinator works from their home office, SHAPA office, and other various locations. The work environment may include exposure to distraught or difficult individuals. The work requires regular focus on a computer screen and precise control of fingers and hand movements. Bending, stooping, kneeling and lifting up to 20 pounds may also be required on occasion.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge:

  • Knowledge of pre/post high school program eligibility requirements.
  • Prior experience with a college promotion and financial aid assistance program.
  • Prior experience with the Oregon Personalized Learning Diploma requirements.
  • Knowledge of college/university admissions processes, scholarship programs and other educational opportunities.
  • Knowledge of Oregon Promise.
  • Knowledge of NCAA student requirements.
  • Knowledge of data information systems, data analysis and the formulation of action plans.
  • Knowledge of applicable federal and state laws regarding school counseling, education and students.

Skills and Abilities:

  • Effective communication skills requiring frequent contact with the public.
  • Possess the physical ability to regularly attend work and fulfill the essential functions of the position, with or without reasonable accommodation.
  • Deal with the students, families, public, and staff in a pleasant and courteous manner in person, over the phone and in writing.
  • Learn the laws, rules and procedures related to the position's responsibilities.
  • Plan, organize, problem-solve and execute decision-making skills.
  • Demonstrate flexibility and adaptability to manage work functions in a timely manner while maintaining accuracy and attention to detail.
  • Demonstrate the ability to maintain the confidentiality of sensitive and confidential materials.
  • Abide by federal requirements for a drug-free workplace.
  • Maintain a high level of commitment to the completion of all tasks.
  • Read, understand and carry out oral and written instructions.
  • Apply an understanding of English, reading, spelling, mathematics and other subjects as related to the position.
  • Learn the operation of computers and other equipment used in the work as required by the position.
  • Establish and maintain accurate record keeping systems.
  • Make mathematical calculations accurately.
  • Learn the operation of copy machines, computers, and other equipment used in the work, as required by the position.
  • Work successfully in a team setting.

EDUCATION AND EXPERIENCE:

Bachelor’s degree from an accredited college or university in Education, Counseling, School Counseling, Administration or related field of study preferred.

CERTIFICATION AND LICENSING:

No certification required.

TSPC licensing preferred.

You are not required to live in Sheridan to apply for this position, as much of the work is done from your home office. However, you must have the ability to easily drive to the locations we serve which currently include the areas surrounding Sheridan, Portland, Salem, Eugene, and Tillamook (this is not a complete list). Additionally, you must be available to attend occasional in-person meetings in Sheridan, OR or nearby locations.
