FACILITIES COORDINATOR
JOB DESCRIPTION
TERMS OF EMPLOYMENT:
1. 240 day contract (12 month).
2. Job Type: Classified Administrator.
3. Reports to: Superintendent of Schools.
4. Salary based on district Administration Salary Scale.
5. FLSA Status: Exempt.
6. 10 days vacation per year of employment.
7. 12 days sick leave per year of employment.
8. 3 days personal leave per year of employment.
Job Summary:
The Facilities Coordinator is responsible for the efficient and safe operation, maintenance, and improvement of all public school buildings, grounds, and facilities within the district. This role ensures compliance with safety regulations, oversees custodial vendor and maintenance staff, and manages resources to provide a clean, secure, and conducive learning environment.
PERSONAL QUALIFICATIONS:
1. Bachelor’s degree in Facilities Management, Engineering, Construction
Management, or a related field preferred, relevant work experience can be
substituted for educational requirement.
2. Minimum of 5 years of experience in facilities management preferred, preferably
in a public school or similar institutional environment.
3. Must be computer literate with the ability to send and receive email, compose
memos, navigate any facility management software, use the internet. Knowledge
of Google applications beneficial and the ability to accurately complete and
submit program applications, forms, etc.
4. Strong leadership and team management skills; prefer candidate to have previous supervisory experience.
5. Knowledge of building systems (HVAC, electrical, plumbing, etc.) and best practices. Candidate should be
able to read and comprehend written instructions, policies, schematic drawings, blueprints, and procedures.
6. Must be attentive to details, a self-starter, able to work effectively without constant or direct supervision,
strong organizational skills with the ability to multi-task.
7. Strong communication and interpersonal skills, along with organizational skills.
8. Ability to develop and manage budgets and schedules.
9. Must be of good moral character.
GENERAL DUTIES/RESPONSIBILITIES (but not limited to):
1. Oversee the daily operation and maintenance of all school facilities, including
HVAC, plumbing, electrical, and structural systems.
2. Develop and implement preventative maintenance schedules to ensure the
longevity of school assets.
3. Monitor building conditions and prioritize repair needs. Provide long range planning for all
maintenance operations of the school district.
4. Assign daily tasks and ensure timely completion of work orders.
5. Manage, train, and evaluate custodial vendor and maintenance staff. May provide or arrange
for in-service training programs for assigned personnel, as needed.
6. Collaborate with school principals and school administrators to address facility-specific needs.
7. Work with district CFO and others to develop and manage the facilities budget, ensuring cost-effective
operations.
8. Procure supplies, equipment, and services in compliance with district policies and state procurement regulations.
9. Monitor energy usage and implement conservation measures to reduce costs.
10. Oversee facility improvement projects, renovations, and construction efforts.
11. Coordinate with contractors, architects, and engineers to ensure timely and on-budget project completion.
12. Maintain records of projects, warranties, and contractor performance.
13. Surveys, coordinates and participates in development of time and cost estimates for major repairs or
remodeling projects.
14. Ensures all facilities meet local, state, and federal safety, health, and environmental standards.
15. Conducts regular inspections of all school buildings, grounds, and installations to ensure that high
standards of workmanship, cleanliness, safety and security are maintained and implements corrective
actions as needed.
16. Serves as the point of contact for inspections, audits, and emergency response coordination.
17. Other duties as assigned by the superintendent or designee.
SPECIFIC QUALIFICATIONS and/or REQUIREMENTS:
Physical Requirements: Must be physically able to sit, stand, walk, occasionally stoop, lift objects that fall within the scope of job responsibility. Must have the dexterity to perform the duties and responsibilities of the job.
Intelligence: Requires the ability to read and follow a variety of instructions on district, state, and federal websites as well as hard copy.
Language Ability: Requires the ability to read a variety of correspondences. Requires the ability to prepare reports, forms, system documentation, etc. using prescribed formats and conforming to all rules of grammar.
Verbal Aptitude: Requires the ability to record and deliver information, to explain procedures, to give oral and written instructions. Must be able to communicate effectively. Must possess the ability to speak to people with poise, voice control, and confidence. Must be able to deliver effective presentations to both small and large audiences.
