The Senior Facilities Manager provides strategic oversight and operational leadership for the maintenance and facilities function across a defined portfolio of multi-family properties. This role ensures execution of company standards, regulatory compliance, asset preservation, and optimal resident satisfaction through proactive maintenance programs, capital planning, vendor management, and team development.
ESSENTIAL FUNCTIONS
- Conduct routine and ad hoc property inspections, including quarterly maintenance audits, to ensure compliance with company standards, safety protocols, and preventative maintenance schedules.
- Identify and mitigate physical asset risks before they escalate, ensuring consistent curb appeal, safety, and functionality across the portfolio.
- Support environmental sustainability initiatives by enforcing energy-efficiency and waste-reduction protocols.
- Support the Construction team in the planning and execution of capital improvement initiatives by providing site-level insight, technical expertise, and quality assurance to ensure alignment with operational needs and property standards.
- Partner with asset management and operations teams to develop and manage annual capital expenditure and operating expense budgets.
- Write scopes of work and technical specifications for capital and large-scale maintenance projects
- Forecast and plan for the replacement lifecycle of major building systems-including HVAC, roofing, paving, and infrastructure components-ensuring minimal operational disruption.
- Evaluate and standardize preventive maintenance, unit turnover, and service request response programs across all sites to drive operational consistency and cost efficiency.
- Implement compliance and safety initiatives (e.g., fire/life safety, HVAC, pool operations, OSHA standards) across the portfolio.
- Ensure the proper use and maintenance of tools, equipment, and technology platforms to enhance technician productivity.
- Source, qualify, and manage third-party vendors and contractors on an as-needed basis, including solicitation of bids, contract negotiation, job inspections, and performance reviews.
- Resolve escalated vendor disputes and provide field support to property teams.
- Partner with property leaders and HR to recruit, onboard, train, and develop high-performing maintenance teams.
- Collaborate with property managers to identify skill gaps or performance issues among maintenance technicians; provide support through coaching, technical guidance, and recommendations for targeted training as needed.
- Support property managers in addressing escalated resident maintenance concerns by providing technical expertise and guidance to ensure timely, service-oriented resolution.
- Provide situational supervisory support for on-site maintenance teams when gaps arise, including timecard approvals, task delegation, and operational oversight, in collaboration with property management.
- Serve as a key point of contact for senior leadership on property conditions, operational risk, and opportunities for service delivery improvement.
- Foster cross-functional collaboration with Property Management, Construction, Compliance, and Asset Management departments.
- Leverage data analytics and maintenance KPIs to drive decision-making and continuous improvement.
- Ensure adherence to all applicable local, state, and federal regulations.
- Identify opportunities for portfolio-wide cost savings by sourcing materials and services through bulk purchasing, strategic vendor partnerships, and standardized procurement practices.
Supervisory Responsibility
- As applicable, supervises, coaches, directs, trains, and evaluates staff; Prepares and conducts employee reviews and completes timecard approvals.
- Responsible for carrying out recruitment and hiring efforts in partnership with human resources and management.
MINIMUM REQUIREMENTS
- High school diploma/GED and completion of a craft apprenticeship, or an equivalent number of years of education and production maintenance experience.
- 7-10 years of experience in maintenance or related carpentry/construction. Ideally in large residential (300 units) or commercial real estate.
- Special boilers license or willingness to obtain one, if applicable.
- Must provide own hand tools.
- Current and valid driver’s license required. Must pass a Motor Vehicle Record check (MVR) and have a safe driving record.
- Willingness and ability to run errands to hardware store for maintenance supplies, cleaning supplies, or other items.
- Excellent verbal, written and presentation skills; Ability to communicate effectively with community tenants, vendors / external parties, and across corporate divisions.

- Work/Office hours may vary due to the specific needs of the portfolio.
TRAVEL
- This position requires frequent travel, more than 50%. Most travel is within 50 miles of the home office.
WORK ENVIRONMENT
- While performing the duties of this job, the employee is frequently exposed to fumes or airborne particles, moving mechanical parts and vibration. The noise level in the work environment and job sites can be loud.

This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

COMPENSATION & BENEFITS:
Pay Range: $95,000 - $100,000 annually plus bonus incentive plan. Pay is based on several factors which vary based on position; including experience, skills, and knowledge the selected individual is bringing to the specific job.
