What you’ll do:
Front Desk Management:
Be the Face of Our Firm: Greet clients and visitors with a warm and professional demeanor, offering assistance when needed.·
Communications: Manage all incoming calls to our switchboard, ensuring seamless communication within the firm.·
Visitor Coordination: Correspond with building security to welcome upcoming visitors to the firm.·
Meeting Support: Assist with ordering food and beverage services for firm meetings and external guests.·
Client-Attorney Liaison: Act as a vital liaison between clients and attorneys, providing clerical and administrative support to visiting attorneys when needed.·
Invoice Management: Handle invoices and expenses related to administrative tasks.· Versatile Support: Take on various administrative duties as assigned by People Operations.
Facilities Duties: Work alongside the Operations Manager and Facilities Department to ensure Facilities needs are handled timely and appropriately.
You should have:
- Proven experience in a customer service or administrative role, preferably in a professional services environment.
- Proficiency in Microsoft Office Suite.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Strong problem-solving skills and ability to pivot with challenges.
- Commitment to maintaining the confidentiality of sensitive client and firm information.
- Ability to collaborate effectively with colleagues across all departments and contribute to a positive working environment.
- Two or more years of related experience and/or training in general office procedures. Prior law firm experience helpful.
