Accounts Payable / Administrative Assistant will support the Office Manager in payables and other accounting responsibilities.
Key Duties & Responsibilities :
Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices.
Reconciles processed work by verifying entries and comparing system reports to balances.
Charges expenses to accounts and cost centers by analyzing invoices.
Pays vendors by monitoring discount opportunities, and resolving purchase order, contract, invoice, or payment discrepancies and documentation.
Ensures credit is received for outstanding memos.
Maintains accounting ledgers by verifying and posting account transactions.
Verifies vendor accounts by reconciling monthly statements and related transactions.
Updates job knowledge by participating in educational opportunities.
Accomplishes accounting and organization mission by completing related results as needed.
At times will help with orientation and Spanish-to English-translation
Education & Experience Required
High school diploma, GED, or equivalent required
Bachelor's degree in accounting, finance, or related field a plus
Previous accounts payable experience required
Bilingual-Spanish
Strong and demonstrated computer proficiency, particularly in typing, 10-key, MS Office (Excel, Word, Outlook). Ability to produce, edit, format, and finish professional documents.
Proficient in QuickBooks, MS Office Suite with an emphasis on Excel and Word, PowerPoint a plus
Strong verbal, interpersonal and written communication skills, bilingual a plus
Strong analytical and problem-solving skills with ability to multi-task
Detail and deadline oriented
Self-motivated with high integrity and work ethic
