Athletic Secretary

REPORTS TO: Building Administrator, Director, and/or Administrative Assistant
PURPOSE
Perform a variety of secretarial/clerical support duties according to standard procedures including computer input and retrieval of student records, schedules, attendance, and additional records; prepare correspondence using a standard format; make a variety of decisions within a framework of established procedures; act as receptionist and efficiently handle the school telephone system; have considerable public contact as main contact person, receives, screens, and answers inquiries from students, staff, and general public; routes calls, gives directions and responds to requests for information; must be detail oriented, able to multi-task and collaborate with co-workers.
This is the entry level class within the School Support series. Positions at this level typically perform similar duties as the Secretary II, but are not expected to perform with the same independence, judgment, problem-solving, and decision-making on matters relating to established procedures and methods and are also distinguished by the performance of the more routine tasks and duties assigned to positions within the series.
ESSENTIAL RESPONSIBILITIES
Not all tasks mentioned represent each position but are meant to be representative of a variety of job descriptions within this classification. Duties will vary depending on the assignment of the administrator or school/department this employee is assigned to.
- Answers telephone and provides general information, relay messages, wait on students, staff, parents, coaches and general public
- Spanish speaking preferred but not required
- Respond appropriately in emergency and crisis situations
- Make independent decisions within established guidelines and reporting structure
- Communicate sensitive information to staff, students, coaches, parents and community members
- Respect the confidentiality of administration, staff, coaches, students, and organizations of the community
- Complete simple to complex assignments with a minimum of instruction or supervision
- Prioritize multi-tasks from a variety of sources, ensuring timely completion
- Track and maintain student attendance and report to Athletic Director and coaches
- Registration and maintenance of student athletic sports
- Use data entry system to manage student athlete information
- Track student immunizations and uphold immunization laws pertaining to the current OSAA regulations
- Track building use information and communicate with staff on needed set-up and maintenance
- Maintain log and distribute all building keys and security badges as neededf or sport purposes
- Maintain a calm professional environment during times when interruptions, disruptions and a stressful environment interfere with the flow of work
