General Summary:
Under the supervision of Friend of the Court, provides administrative support to the enforcement division including but not limited to answering phone lines, opening and distributing mail, compiling all necessary documents to conduct statutory child support reviews, processing court orders and correspondence, and backing up the account clerks/administrative assistants.
Typical Duties and Responsibilities:
1. Answers enforcement telephone lines and attempts to resolve concerns regarding enforcement related issues.
a. Answers inquiries from, clients, attorneys, courts and other governmental agencies.
b. Types a variety of correspondence, reports, forms, and other documents.
2. Answers main telephones as backup.
3. Serves as a back up to Account Clerks/Administrative Assistants.
4. Advise clients and attorneys of Friend of the Court policies and procedures, specifically enforcement procedures and policies.
5. Prepare orders, send to Judge for signature, log, mail copies to parties, and send to Order entry.
6. Processes incoming and outgoing enforcement mail, open, scan, sort, log and distribute.
7. Types a variety of correspondence, reports, forms, and other documents.
8. Sets show cause hearings and distributes notices.
9. Review cases that are not charging support to determine if case needs to be closed or made inactive.
10. Take action to locate payors for enforcement or court ordered hearings. Utilizes federal and state locator services, Secretary of State records, worker’s compensation records, telephone directories, the internet and other sources for location efforts. Contacts jails, prisons, parole offices and other agencies to attempt to locate clients.
11. Review files to determine the need to initiate enforcement action on delinquent payors.
12. Respond to inquiries of parties and attorneys involving order provisions or enforcement procedures.
13. Maintains client files with court order, bench warrants, address changes, and other documents.
14. Monitor cases for deceased clients and process personal representative of estate notices.
15. Maintain statistical information regarding specific types of hearings held.
16. Review clients addresses and change according to office policy.
17. Maintain and monitor new case info.
18. Monitor 21-day objection periods for proposed orders and help clients accordingly.
19. Processes incoming court orders from other states for enforcement of child support orders.
20. Maintains statistical information regarding enforcement necessary to comply with local, state and federal reporting, including SCAO 41 report.
21. Use of various computer systems, including CherryLan, JIS, LaserFiche, Michigan Child Support Enforcement System, Tier Trac, MiSupport Business Objects, Microsoft Word, Microsoft Excel, OTIS, Nitro, Outlook, and Adobe Acrobat, in the performance of duties.
22. Provides assistance in other Friend of the Court operations as directed by the Friend of the Court.
Experience, Training, Knowledge, Skills, & Abilities:
1. Required Minimum Qualifications:
a. Associates Degree in human services, business, legal studies, or related field.
b. Computer literate in operation of Microsoft Word and Excel.
c. Minimum of 1 year of relevant experience in a Friend of the Court office or related legal setting.
2. Additional Desirable Qualifications:
a. Knowledge of family law.
b. Willing to learn and take initiative to go above and beyond.
