Overview: We are seeking a highly organized and detail-oriented Administrative Assistant to join our repossession team. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing office tasks, and assisting with various projects. The ideal candidate will have strong computer skills, excellent communication abilities, the capacity to multi-task, and be a dependable team player. This role is not remote and requires a self-motivated, trustworthy individual who can work independently with minimal supervision.

Responsibilities:

  • Repossession Support: Assign repossessions and coordinate with Repossession Agents and spotter cars to secure collateral.
  • Customer Interactions: Handle inbound and outbound calls with customers and clients, remaining calm under pressure and de-escalating situations when necessary.
  • Redemption and Appointments: Manage redemption and personal property appointments.
  • Documentation & Compliance: Ensure repossession notices such as Notice of Seizure are documented and mailed according to company and state laws.
  • Data Entry & Software Use: Update customer accounts via multiple software platforms, including data entry for repossession documents and communication.
  • Multi-tasking: Effectively manage several web-based portals, emails, and administrative tasks simultaneously.
  • Professional Communication: Scan, fax, and email documents in a professional manner; handle customer inquiries and provide account updates.
  • Confidentiality: Maintain discretion when handling sensitive and confidential information.
  • Team Collaboration: Support team members and ensure the smooth running of office operations.
  • Quality & Efficiency: Provide high-quality, consistent work, including proper documentation, while meeting deadlines and maintaining organization.

Requirements:

  • Must be at least 23 years old (Corporate Insurance Requirement)
  • Clean Motor Vehicle Record (MVR) and a current driver’s license
  • Ability to pass pre-employment and random drug testing
  • Intermediate computer skills, with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Google Doc
  • Excellent written and verbal communication skills
  • Ability to pass a background check for California State Licensing requirements (No Felonies under California Law)
  • High school diploma or GED required; college degree preferred
  • Strong customer service and communication skills
  • MUST be a team player!
  • Ability to work Monday - Friday, with some Saturdays (7:30am - 4pm, some days may start earlier or end later)

Additional Responsibilities:

  • Answer and direct phone calls professionally
  • Greet and assist visitors, providing necessary information
  • File and maintain both physical and electronic documents
  • Perform general clerical duties, such as photocopying, scanning, and mailing
  • Process invoices and assist with data entry tasks
  • Handling customer at the pick up window.
  • Cash handling

Skills & Qualifications:

  • Proficient in operating phone systems and handling calls effectively
  • Strong organizational and file management skills
  • Attention to detail for transcription and data entry
  • Knowledge of clerical procedures, record-keeping, and data management
  • Ability to prioritize tasks, meet deadlines, and manage time effectively
  • Computer literacy and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
