POSITION: ASC Purchasing Coordinator

LOCATION: Medford, MA

Hours: Monday - Friday 7am-3:30pm


OVERVIEW:

The Purchasing Coordinator is responsible for ensuring the daily operations surrounding The Surgery Center’s inventory and is responsible for the acquisition and receiving of supplies, equipment and services, researching product information, coordinating repairs and assisting with the evaluation of new products. This includes the duties of preparing and processing purchase orders or purchase requests, keeping records of purchases/repairs, and keeping vendor information up to date. The purchasing coordinator ensures that vital inventory is kept in stock by guaranteeing that materials, supplies, and equipment orders are placed in a timely fashion. The job requires communicating with caregivers in other departments for supply orders, keeping those caregivers up to date on the status of orders that have already been placed, and assisting with any necessary returns. The purchasing coordinator will work closely with the accounting department to resolve problems with invoices and set up accounts with new vendors, and will be the point of contact within The Surgery Center for any vendor inquiries or issues. He/she will perform other related duties as needed to maintain department cost containment, efficiency, as well as quality performance.


RESPONSIBILITIES:

•Actively works to promote and maintain an organizational culture that enhances our standing as the best place to work and receive care.

•Active engagement in staff meetings, department meetings, in-services, educational requirements, etc.

•Demonstrates knowledge of The Surgery Center’s current policies and procedures.

•Demonstrates understanding of managing expenses and cost containment by ensuring supplies, equipment, and services are ordered and delivered in

•Reviews the case schedules and anticipates the need for special equipment and/or supplies and ensures equipment/supplies are on site for each case to avoid delays.

•Communicates daily with all caregivers regarding needs/issues/questions regarding supplies and equipment. Works collaboratively with caregivers and physicians to address any issues with equipment or other products.

•Maintains inventory of all supplies and equipment on site.

•Receives all items ordered for The Surgery Center, follows up on delivery errors/missing products, and identifies alternative items for backordered items.

•Collaborates with Nurse Manager/Quality and Education Coordinator on all recall alerts and follows recall process for affected items.

•Arranges for repair of damaged or malfunctioning equipment and instruments, obtains loaner items when necessary.

•Tracks and follows up on products/equipment borrowed out to other facilities. Tracks and returns products/equipment that is loaned to The Surgery Center from other facilities and vendors.

•Collaborates with Director and Nurse Manager in reviewing need for new equipment, instrumentation, supplies and collects quotes from various vendors. Uses obtained quotes to assist in the planning of the Capital Budget.

•In collaboration with Charge Nurse for Sales Representatives to be present for cases when requested by the physicians.

•Assists with stripping, cleaning, and setting up the OR suite for cases with efficiency and speed, as needed.

•Assists in the maintenance of equipment and instrumentation to facilitate durability and availability for future procedures.

•Contributes to meeting the fluctuating staffing needs of the department as evidenced by flexibility in own assignment and work schedule.

•Demonstrates initiative and collaborates professionally with caregivers throughout all departments.

•Identifies areas of conflict, intervenes effectively, or seeks assistance in conflict resolution.


EDUCATION:

•High School Diploma or equivalent.

•Surgical Technician background is preferred.


SKILLS:

•Minimum of one (1) year work experience as a purchasing coordinator is required.

•Experience with an Inventory Management System is required.

•Experience in Ambulatory Surgery or Outpatient Surgery preferred.

•Proficient in Microsoft Office, including Excel and Word.

•Great team player

•Strong attention to detail

•Organizational skills

•Ability to remain calm under pressure

•Strong communication skills


CERTIFICATIONS:

•Currently holds American Heart Association (AHA) Basic Life Support for Healthcare Provider (BLS) or AHA approved equivalent (or obtains within three (3) months of hire).


PHYSICAL REQUIREMENTS:

•Lift 10 lbs. box overhead. Lift and carry 15 lbs. Push/pull 20 lbs. cart.

•Lift and carry 25-35 lbs. Push/pull 50-100 lbs. (ie. empty bed, stretcher)

•Lift and carry 40-50 lbs. Push/pull /- 150-200 lbs. (Patients on bed, stretcher) Lateral transfer 150-200 lbs.

•Lift over 50 lbs. Carry 80 lbs. a distance of 30 feet. Push/pull > 200 lbs. (ie. Patients on bed, stretcher)
