Job Description:
SHIFT (www.shift365.com) is seeking an Operations Coordinator that will be responsible for managing the day-to-day execution of orders, projects, and communications. This individual will ensure that client orders are fulfilled accurately and on time, whether they are marketing and advertising programs, promotional goods, or other materials. The ideal candidate will have a strong ability to multitask, manage timelines, and communicate clearly with both clients and team members.
Key Responsibilities:
- Project Management: Oversee the execution of various client projects, from marketing programs to product fulfillment, ensuring deadlines are met and deliverables align with client expectations.
- Order Fulfillment: Coordinate the sourcing, production, and delivery of products, including marketing collateral, apparel, and showroom materials.
- Communication: Act as the main point of contact for internal teams and clients, keeping everyone informed of project statuses, timelines, and any potential issues.
- Client Relations: Build and maintain strong client relationships, ensuring satisfaction with delivered products and services.
- Vendor Management: Collaborate with external vendors to ensure timely and high-quality delivery of ordered products and services and key collaboration. Offer optimization and different sourcing of vendors when appropriate.
- Process Improvement: Identify opportunities to streamline processes, reduce lead times, and increase overall efficiency in order fulfillment and project management.
- Documentation & Reporting: Leverage internal systems to maintain clear and organized records of projects, orders, communications, and fulfillment details. Provide regular reports to management on project status, client satisfaction, and fulfillment timelines.
Qualifications:
- Bachelor’s degree in Business, Operations, Marketing, or a related field (or equivalent experience).
- 2-3 years of experience in operations, project management, or a related field.
- Strong organizational and time-management skills, with the ability to manage multiple projects simultaneously.
- Excellent written and verbal communication skills.
- Experience working with vendors and managing product fulfillment.
- Familiarity with project management tools and CRM software (experience with Zoho One is a plus).
- Ability to problem-solve and think critically to overcome challenges.
- Strong attention to detail and a commitment to delivering high-quality work.
