Position Overview: The Executive Administrative Assistant provides high-level administrative support to the Chief Strategy Officer and the strategy team, ensuring efficient operations and facilitating the execution of strategic initiatives
Administrative Support
- Draft and prepare letters, memos, reports, expense reports, and other documents.
- Arrange travel and accommodations for strategy team members as needed.
- Schedule meetings, appointments, and conferences, including offsite, international, ensuring optimal time management and no conflicts.
- Attend meetings as requested to take detailed notes.
- Additional responsibilities may include helpdesk tickets, supply requests, and other project assistance.
- Partner with marketing to ensure post acquisition gifts are requested and distributed as needed.
- Receive and review incoming communications or memos on behalf of senior staff, determine their importance, and summarize and/or distribute content to appropriate personnel.
- Manage daily calendars for all strategy team members.
- Coordinate with various departments to ensure the execution of strategic initiatives, such as tracking items in the Virtual Data Room (VDR).
- Perform daily uploads for potential acquisitions from the VDR into the M&A drive.
- Oversee event follow-up, ensuring all post-event tasks are completed.
- Assist in preparing confidential materials, sending out documents, and maintaining accurate file tracking.
- Track miscellaneous items and follow-up tasks through Monday.com.
- Order and send gifts as requested, including post-acquisition tokens for previous founders/CEOs.
- Perform other related duties as assigned by executives.
- High school diploma required; Bachelor’s degree in Business Administration or a related field preferred.
- At least four years of related experience, including previous experience supporting executives.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Effective time management with a proven ability to meet deadlines.
- Proficiency with Google Workspace preferred.
- Ability to function well in a high-paced and sometimes stressful environment.
