Shipco Transport Inc., a leading international cargo transportation company, has an immediate opening at our CHI branch located in Franklin Park, IL for an experienced FCL Export Customer Service Coordinator.
We are seeking a detail-oriented and highly organized Full Container Load (FCL) Ocean Export Customer Service Coordinator to join our dynamic logistics team. This role is critical in ensuring smooth operations and exceptional customer service for our ocean export shipments. The ideal candidate will have experience in ocean freight, excellent communication skills, and a commitment to providing outstanding service to both internal teams and external clients.
Key Responsibilities
Customer Service & Coordination:
- Serve as the primary point of contact for customers regarding FCL ocean export shipments.
- Communicate with clients to confirm shipment details, ensure compliance with export regulations, and provide shipment updates.
- Address and resolve customer inquiries, issues, and concerns in a professional and timely manner.
Shipment Planning & Coordination:
- Coordinate the timely preparation of export documentation, including Bills of Lading, Export Declarations, and other required paperwork.
- Collaborate with internal teams, including operations, customs, and warehouse staff, to ensure smooth handling and timely departures of FCL shipments.
- Monitor shipment status and ensure that all milestones (pick-up, port arrival, departure, etc.) are met according to customer expectations.
Vendor & Carrier Management:
- Liaise with ocean carriers to secure container bookings, monitor vessel schedules, and ensure timely and cost-effective shipments.
- Negotiate rates, track booking status, and escalate any issues with shipments or carriers to ensure that customer requirements are met.
Documentation & Compliance:
- Ensure that all shipments comply with export regulations and requirements of the destination country.
- Review and verify all export documentation, ensuring accuracy and completeness.
- Assist with any customs issues and work closely with the compliance team to ensure timely resolution.
Problem-Solving & Issue Resolution:
- Identify and proactively address any issues or delays with shipments, ensuring customer satisfaction through prompt resolution.
- Collaborate with internal teams to investigate shipment discrepancies, damages, or delays and provide customers with solutions or alternatives.
Reporting & Record Keeping:
- Maintain accurate records of shipments, including tracking numbers, delivery confirmations, and correspondence.
- Generate and submit regular reports on export shipment status and performance metrics.
Skills, Knowledge and Expertise
- Excellent communication and interpersonal skills, with a customer-oriented approach.
- Strong attention to detail and ability to multitask in a fast-paced environment.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and experience with shipping management software (e.g., CargoWise, SAP, etc.).
- Ability to work independently and as part of a team.
- Strong problem-solving skills and ability to resolve issues efficiently.
