Position Purpose:
The Office Manager will be responsible for managing the day-to-day activities of the Chamber and assisting the President in their mission to grow and serve chamber members. In addition, the Office Manager will inform, coordinate, communicate, and manage the business and information needs of the Chamber, including oversight of the accounting system, the membership database, and publications. This position reports directly to the President.
Job Scope:
• Enhances the image of the Chamber through actions and involvement in community
• Responding to in-person, mail, e-mail and voice mail inquiries
• Preparing materials (agendas, minutes, any pertinent information)
• Send out email reminders of meetings and track R.S.V.P.
• Performing mail merges/bulk mailings
• Maintaining quality and accurate filing systems
• Maintain community kiosk and display racks in the office
• Ensure all membership dues are paid
• Invoice billable charges to the Chamber members for ads, sponsorships, etc.
• Maintain accurate membership records in ChamberMaster
• Complete all renewal processing, tracking and reporting
• Request membership updates minimum annually
• Distribute membership plaques and/or “year” stickers to members
• Oversee or prepare new members' packet
• Assist committee chairs with planning, organizing, and executing all events, programs, or board-approved initiatives.
• Attend all committee meetings
• Create and maintain lists of sponsors for events
• Ensure payment for sponsorship is received in a timely manner
• Coordinate preparation of all marketing materials and e-based materials to promote chamber events or membership
• Complete Chamberline production and distribution
• Attend Ribbon Cuttings for Chamber members, Mixers and Events
Minimum Education Requirements:
• General and business knowledge equivalent to a high school diploma
• 5 years experience in business development, project management, or office management desired
• Familiarity with Business and Community Organizations desirable
