Job Overview:
SCM is seeking a highly skilled and experienced Office Manager to lead and manage the administrative, financial, and operational functions of our business. This position plays a critical role in the company’s success, overseeing office operations, managing accounts receivable and payable, and contributing to strategic growth initiatives. The ideal candidate will possess strong leadership skills, extensive knowledge of office management and financial processes, and the ability to implement systems that drive efficiency and productivity. Key Responsibilities:

Operational Management:

  • Oversee daily office operations, ensuring efficiency and alignment with company goals.
  • Implement and improve systems, processes, and procedures to enhance productivity and operational effectiveness

  • Accounts Receivable and Payable:
  • Manage accounts receivable, including invoicing, tracking payments, and following up on overdue accounts.
  • Handle accounts payable by verifying and processing vendor invoices, managing payment schedules, and ensuring timely disbursements.
  • Reconcile financial transactions and maintain accurate financial records.
  • Collaborate with the accountant to ensure payroll, tax filings, and financial reports are accurate and up to date.

  • Team Leadership:
  • Provide direction and oversight to administrative staff, fostering a collaborative and results-driven work environment.
  • Delegate tasks effectively and ensure accountability across the team.

  • Client and Vendor Relations:
  • Serve as the primary contact for client communication, providing timely updates on projects, schedules, and invoices.
  • Build and maintain strong relationships with vendors to ensure seamless service delivery and prompt issue resolution.

  • Financial and Compliance Oversight:
  • Ensure timely and accurate payroll submissions, including labor hour allocations and overtime tracking.
  • Manage compliance documentation, including insurance, Worker’s Compensation, and regulatory filings.
  • Maintain vehicle and equipment maintenance logs to ensure proper functioning and compliance.

  • Scheduling and Inventory Management:
  • Create and distribute weekly schedules for maintenance teams, including lawn care, porter services, and night sweeping.
  • Monitor and maintain office and field inventory, including office supplies, equipment, and maintenance materials.

  • Strategic Contributions:
  • Prepare financial and operational reports, offering insights and recommendations to leadership.
  • Support executive decision-making by providing accurate data and contributing to strategic discussions.

  • Other Duties as Assigned:
  • Flexibly support additional tasks and projects that align with the company’s goals and initiatives.

Qualifications and Requirements:

  • Education and Experience:
  • Bachelor’s degree in business administration, accounting, or a related field preferred.
  • Minimum of 5 years of experience in office management or financial administration, with a focus on accounts receivable and payable.

  • Extensive knowledge of accounting principles and financial processes, including invoicing, payment tracking, and reconciliations.
  • Proficiency in QuickBooks and Microsoft Office Suite, with advanced Excel skills.
  • Strong leadership and team management abilities, with proven experience supervising staff.
  • Exceptional organizational and multitasking skills, with the ability to prioritize tasks in a fast-paced environment.
  • Excellent communication skills, both written and verbal, with a focus on client and vendor relations.
  • Analytical mindset with the ability to interpret financial data and provide actionable insights.

Pay: $49,000.00 - $55,000.00 per year

Schedule:

  • 8 hour shift
  • On call
  • Weekends as needed
