Under the supervision of the Assistant Director of International Student Services and Operations, the Program Coordinator for Admissions coordinates the admissions process for international students (for students inside and outside the U.S.) from initial inquiries to final admission, including the issuance of I-20s, providing outstanding service by answering questions, mitigating concerns, providing program information, and monitoring students’ progress throughout the entire application and enrollment process.
The Program Coordinator will collaborate with international student services and outreach staff to strategize innovative methods and strategies for increasing leads and yield and making recommendations to the Assistant Director to improve current practices.
The position will work primarily with F-1 visa applicants, as well as students from other visa statuses (i.e. J-1/J-2, F2, transfer-in students, and concurrent students), via email, telephone, Zoom, live chat, and in person.
As a Designated School Official (DSO), this position will provide guidance on matters pertaining to international students' maintenance of status related to the admissions process. The DSO will also be responsible for updating and maintaining students’ SEVIS records within the legal time limits to ensure Shoreline Community College complies with federal regulatory requirements for hosting nonimmigrant students. The DSO may be required to interact with other staff on campus, PDSO/DSOs of other U.S. schools, and a variety of government entities under the U.S. Department of Homeland Security (USCIS/SEVP/CBP).
The position requires attention to detail and a high level of accuracy in data entry and the ability to work in multiple software programs (ISSM, Starfish, Slate, ctcLink, and others).
The position may direct the work of other staff in the admissions area. The position may perform the duties of a Program Assistant.

The College is currently providing services in a mixed modality of operations (both online and in-person services are offered). This position will perform work in a standard office setting, use standard office equipment and physically attend meetings both on and off campus. Please note, there may be limited opportunities for online work depending on program or area needs. If authorized for online work, employees will need to provide their own workspace and internet access, noting the College will provide technical equipment and support for online work needs.
Terms Of Employment/Salary:
This position is allocated to pay range 40 under the Washington State Office of Financial Management higher education salary schedule. Salary placement for new employees is determined by the College. This position works 40 hours per week, with a schedule dependent upon department needs. Primary responsibilities include the following:
- Provide inclusive and professional customer service in all modalities (in-person, phone, email, virtual) to deliver information regarding international student admissions and the F1 immigration process as it relates to admissions.
- Follow established processes, regulations, and policies to interpret the needs of student applicants and external partners to provide them with information relating to the admissions process
- Proactively follow up with inquiries to encourage submission of complete applications to improve the applied-to-enrolled student ratio.
- Review international student applications and supporting documents to determine if documents submitted meet department and federally mandated immigration requirements for issuance of an I-20; create and issue admissions documents to admitted students
- Collect, compile, and accurately enter student admissions documents and data using different software systems such as ISSM, Starfish, Slate, ctcLink; monitor relevant admissions functions in these systems and make recommendations as needed
- Work with student services and outreach staff to assist in the development of innovative and personalized communication methods to applicants, admitted students, and external partners relating to admissions and F1 immigration requirements; support the development of ongoing communication plans that includes print, digital and social media outreach.
- Create and issue initial I-20s as a Designated School Official.
- Create and maintain immigration records in compliance with federal SEVIS regulations
- Comply with mandatory SEVIS recordkeeping and quarterly SEVIS reporting; work with SEVP Help Desk for any necessary correction requests
- Process immigration and SEVIS paperwork related to admissions
- Other duties including but not limited to back-up front desk coverage, database support, data entry/data processing, customer service to students, staff, and/or committee or workgroup membership as a subject matter expert in international admissions.
- High school graduation or equivalent AND
- Two (2) years of related full-time experience OR equivalent education/experience
Knowledge Of:
- Microsoft Office Excel, Outlook, PowerPoint and Word programs as well as electronic record management systems
- Complex word processing tasks such as merging, sorting, integrating text with graphics, and use of graphics
Skill In:
- Fostering a climate of equity and belonging through multicultural awareness and responsiveness
- Time management, organization, and ability to meet competing deadlines/priorities
- Entering and/or retrieving data accurately in computerized record keeping systems
