Event Supervisor

Summary of Position

Responsible for overseeing all aspects of event logistics, including planning, coordinating, and executing various events, ensuring smooth operations, maintaining safety standards, and managing staff to deliver successful experiences for attendees, while adhering to budget and timelines; often working closely with event planners and other departments to execute event details effectively.

Organizational Relationships

Reports to : Events Manager

Supervises : Events Housemen, Banquet Servers

Qualifications and Skills

  • Ability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines
  • Excellent written and verbal communication to interact with clients, vendors, staff, and guests
  • Must be able to speak, read, write and communicate in English to adequately perform the duties of the job
  • Ability to motivate and manage a team, delegate effectively, and make quick decisions under pressure
  • Capacity to identify and resolve issues promptly and efficiently during event execution
  • Extensive knowledge of Food and Beverage etiquette service standards
  • Strong supervisor skills to rally and motivate staff
  • Outstanding organizational and time management skills
  • Must be energetic and able to work in a fast-paced environment
  • Must show initiative, including anticipating guest or operational needs
  • Work varying schedules that include evenings, weekends, holidays and extended hours as business dictates .

Education and Experience

  • High School diploma / GED or equivalent education / experience required
  • Degree in Culinary Management or Hospitality Management preferred
  • 2 years of hotel banquet experience required
  • Food Handler / Safe Serv certification is required
  • Applicable state certifications as required
  • Proficient computer skills including but not limited to Microsoft Word, Power Point, Excel and Outlook and other required systems.

    Duties and Responsibilities

    Event Planning and Coordination :

  • Collaborate with event planners to develop comprehensive event plans, including timelines, budgets, and staffing requirements.
  • Manage event logistics such as venue selection, vendor contracts, catering, audio-visual equipment, transportation, and security.
  • Oversee event setup and breakdown, ensuring proper staging and decor placement.
  • Staff Management :

  • Recruit, train, and supervise event staff including event coordinators, volunteers, and on-site crew.
  • Assign tasks and delegate responsibilities to staff based on event needs.
  • Monitor staff performance and provide feedback to ensure high-quality event execution.

    On-Site Operations :

  • Monitor event flow and address any issues that arise during the event, including guest concerns and emergencies.
  • Ensure compliance with safety regulations and emergency procedures.
  • Coordinate with venue staff to manage access control, registration, and guest flow.
  • Budget Management :

  • Track event expenses against the budget, identifying potential cost overruns and implementing corrective actions.
  • Negotiate contracts with vendors to optimize costs while maintaining quality standards.
  • Post-Event Analysis :

  • Conduct post-event evaluations to identify areas of improvement and incorporate feedback into future event planning.
  • Prepare detailed event reports summarizing key metrics and financial performance.
  • Performs other related duties as assigned by Event Manager and / or General Manager.
