Summary:The Trademark Paralegal/Legal Administrative Assistant is responsible primarily for docketing, tracking and otherwise helping attorneys with trademark prosecution matters and for assisting in day-to-day operations of attorney practices, including carrying out administrative services, providing support to the Intellectual Property group, and ensuring that attorneys are able to provide exceptional service to their clients. The ideal candidate has a strong work ethic, exceptional problem solving skills, and is comfortable working in a fast-paced and dynamic workplace.This position will sit on-site in either Tampa or St. Petersburg, Florida, with the possibility for remote.
Job Classification:Reports and is responsible to assigned attorneys and the Office Administrator/Manager.
Essential Duties:
- Assist with U.S. Patent and Trademark Office (USPTO) and state trademark filings and docketing of all relevant deadlines
- Assist with tracking and corresponding with foreign trademark associates
- Write, proofread, send, file and manage correspondence, memos, pleadings, contracts, forms, and other related documents.
- Prepare time sensitive client reporting letters and filings for various USPTO and state trademark
- Maintain physical and electronic files for various IP matters, including client correspondence.
- Download materials from the USPTO and prepare materials to be filed with the USPTO.
- Review daily USPTO communications for accuracy, docketing and reporting to client.
- Manage multiple time-sensitive projects and applies various procedural guidelines of differing jurisdictions.
- Receive, read and route incoming mail.
- Operate office equipment including multi-function machines, cost recovery equipment, etc..
- Utilize working knowledge of computer software including Microsoft Word, Outlook, Excel, PowerPoint and Nuance PDF.
- Perform other work-related duties as assigned and appropriate for specific area(s) of law as assigned.
- Attend staff meetings.
- Assist nearby LAAs with workload.
- Update job knowledge by participating in educational opportunities; reading professional publications.
- Accomplish organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
3-5 years of administrative support experience in a law firm, previous trademark and trademark docketing experience required
- Experience with IP docketing software (CPI and Pattsy experience preferred)
- Experience with USPTO trademark filings, rules and deadlines
- Minimum of high school diploma required; Bachelor's Degree preferred
- Reporting and research skills
- Strong verbal and written skills including strong command of spelling, punctuation, and grammar
- Interpersonal skills to maintain strong client and co-worker relationships
- Organization, planning, attention to detail, and time management
- Dependability
- Standing and walking regularly, up to two hours per day.
- Sitting position static for up to one-half hour at a time, up to six hours per day.
- Lifting and carrying up to 20 pounds occasionally.
- Bending and stooping regularly, up to one hour per day.
