Responsibilities:
- Track and analyze trends in client onboarding, recommending strategies to enhance client retention
- Own client renewal tracking to ensure high client retention and proactive client management
- Use time-tracking analysis to identify inefficiencies and suggest process improvements
- Conduct weekly and monthly reporting on capacity, utilization, and billable hours
- Oversee the implementation and refinement of time-tracking resources (i.e., process documentation, trainings, etc.)
- Provide data-driven insights to inform hiring decision, contract renewals, and growth planning
- Collaborate with directors to fill gaps in availability and proactively address scheduling conflicts
- Lead cross-functional initiatives to optimize workflows, project management tools, and agency processes
- Ensure individuals and departments are appropriately and efficiently staffed
- Collaborate with Operations Manager to process accurate and timely payroll
- 3 years of experience in and operations or resource management role, preferably within a marketing, creative, or content agency
- Proficiency in project management platforms (e.g., Asana, Monday.com, or similar)
- Experience with time-tracking systems and data analysis tools (e.g., Harvest, Toggl, Excel, BI dashboards)
- Exceptional communication and cross-functional collaboration abilities
- Strategic, data-driven mindset with strong problem-solving skills
- Ability to coach, mentor, and inspire teams, fostering a culture of accountability and continuous improvement, while maintaining a positive attitude and helpful spirit
