Position: Family Practice/Sports Medicine Office Lead/Manager
Job Summary: Effectively supervise and coordinate the day-to-day operations and workflow within assigned office.
Educational Requirements:
- High School degree; Associate's degree or bachelor’s degree preferred
Qualifications and Skills:
- Strong communication skills with staff, ancillary personnel, physicians and patients
- At least two years of successful supervisory experience in a primary care medical setting
- Ability to schedule and run regular office staff meetings
- Ability to recommend and implement new protocols and procedures
- Ability to train and motivate employees
- Good analytical and problem-solving skills
- Ability to prioritize workflow in a fast-paced environment
- Comfortable using face to face and electronic communication as well as interacting with Internet applications
Responsibilities include, but are not limited to:
- Participates in interview process, provides input on hiring of staff for the pod
- Oversees training of pod staff including new and existing employees
- Provides direct supervision of all office personnel
- Organizes and schedules team meetings; distributes meeting minutes to staff
- Acts as a problem-solver and proactively addresses staff concerns and operational issues quickly and appropriately
- Directs staff to accomplish organizational goals and standards of service and care
- Monitors and directs revenue cycle reporting and follow-up
- Works to proactively resolve any patient complaints and/or service issues with patients and other key stakeholders such as referring providers, insurance carriers, etc. Escalates issues to senior SPOC manager(s) when necessary
- Recommends operational improvements to Director of Operations
- May be asked to develop and implement new policies and procedures at the direction of Administration
- Reinforces practice policies, compliance plans, operational protocols, and employee handbook
- Ensures patient satisfaction targets are being reached
- Recommends new forms and protocols as policy and procedures change after receiving approval; develops and implements them
- Monitors team workflow - suggests personnel needs to Director of Operations
- Tracks vacations and sick days, and ensures all posts are filled during employee
- absences
- Monitors time off requests and deviations from normal staff work schedule.
- Attends all Lead meetings
- Performs additional duties as requested by the Director of Operations
- Supports provider(s) including MD and mid-levels as necessary
Supervisory Responsibilities
This job has supervisory responsibilities which include overseeing the performance and workload of others. Acts as a coach and mentor to the pod team. Communicates any potential need for disciplinary action to the Human Resources Manager and participates in disciplinary counseling sessions. Documents in detail actions of staff that may result in disciplinary action. Provides conflict resolution when needed. Identifies and responds to positive events appropriately.
Typical Physical Demands
Position requires prolonged sitting, some bending, stooping, and stretching. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, and other office equipment is also required. Employee must have normal range of hearing and eyesight to record, prepare, and communicate appropriate reports.
Typical Working Conditions
Normal office environment. Occasional evening or weekend work.
Compensation: $30/hr-$48/hr
